Job Summary

As an HR & Admin Manager, your responsibilities will include providing tactical and strategic support in all HR-related areas, such as hiring, compensation & benefits, employee relations, training & development, performance management, employment law, and HR administration.

Job Description

  • Participate in the periodic evaluation of HR policies and processes, suggesting improvements to management.
  • Handle staff recruiting procedures, such as application and shortlisting management, interacting with applicants and arranging interviews, drafting job offers and contracts, referencing, and collecting relevant documents at the offer stage.
  • Maintain a thorough understanding of HR policies and guarantee employee adherence to HR policies.
  • As part of general risk management, ensure that the business complies with all employment regulations to reduce legal exposure.
  • Assisting and directing the onboarding process for new hires, including the scheduling of inductions.
  • Upkeep of an accurate and effective HR database containing personnel information and essential documents, as well as administration of new starts, updates, and leavers on the system.
  • Handling day-to-day HR inquiries and advising under existing rules and procedures.
  • Ensure that staff files are comprehensive, safe, and private.
  • Attend to employee concerns such as benefits, grievances, disputes, and disciplinary cases under HR regulations.
  • Ensure that the laws and regulations that govern the personnel are applied fairly and consistently.
  • Ensure that every employee has signed a job description outlining their responsibilities.
  • Write HR correspondent letters and ensure they are sent to the appropriate parties.
  • Ensure appropriate documentation of all HR-related materials.
  • Facilitate job analysis and update job descriptions.
  • Involved in Payroll and Budget Management.
  • In charge of all administrative activities.

Talent Acquisition:

  • Coordinate the recruiting processes, ensuring that hiring standards and procedures are followed and best practices are documented.
  • Job postings in internal and external media, as needed.
  • Participate in recruiting interviews and submit an interview summary.
  • Coordination, development, and organization of complete induction of new workers to prepare them for integration into the company and their tasks.
  • Oversee the workforce planning process.
  • Devise succession planning for key critical work areas in consultation with company managers or operation managers and thereby the implementation of agreed-upon initiatives.

Performance Management:

  • Support or facilitate in developing of Key Performance Indicators (KPIs) for each employee.
  • Keep track of employee performance.
  • Coordinate and ensure compliance with the performance management system timely.
  • Completion of the monthly and annual performance evaluation process and maintaining a record of all objectives set by company managers.

Contract Management:

  • Ensure that all employees have valid and signed employment contracts;
  • Monitor and ensure that end-of-probation assessments are completed and the results are applied;
  • Coordinate the exit process and ensure that all processes are completed within one month
  • Assist in preparing employee last dues and terminating benefit enrollments.
  • Performing any other relevant responsibilities as assigned by the CEO.

Job Requirements: Minimum Educational Qualifications

  • A bachelor's degree in Human Resource Management or a similar field is required; certification with an HR professional body is preferred.
  • At least 5 years of relevant work experience in human resources, at least three of which must have been in a managerial/senior position in either Import and Export, Tours, Construction, paper printing sector, or related business areas.
  • Solid knowledge and comprehension of applicable human resource policies and legal framework is required.
