Chapa Financial Technologies S.C (https://chapa.co) is an online payment gateway that enables small and large merchants in Ethiopia to securely accept customer payments via APIs, addressing payments-related challenges for businesses and government organizations.
Responsibilities
Administrative:
- Providing administrative support mainly to HR and other departments and teams.
- Organizing the organization's security work in terms of material and human resources, developing a security deployment program, monitoring, and evaluating their performance.
- Maintaining and organizing administrative and clerical tasks, record keeping HR-related documents.
- Ensuring internal and external correspondence/messages transmitted to targeted stakeholders.
- Supervising, planning, scheduling, assigning, coordinating, monitoring, and executing general cleaning work: Offices, washing rooms, and office compound.
- Overseeing day-to-day office operations, ensuring and managing office supplies, equipment & facilities.
Facility Management:
- Ensuring the proper maintenance of the office building and equipment.
- Ensuring electric, water, internet connection/Wi-Fi, etc. supplies.
- Ensuring parking service provided effectively to internal and external stakeholders.
- Conducting preventive maintenance: ensuring that necessary repairs and maintenance are carried out on time.
- Assisting the safety management and care of existing fixed assets, monitoring, and implementing technical maintenance, renovation, and repair works in a timely manner.
- Ensuring the necessary inputs are supplied timely and providing support for problems encountered in activities in the food preparation, cleaning service, etc.
- Handling current issues by liaising with governmental and non-governmental organizations that have direct and indirect administrative working relationships with the organization.
- Ensuring timely preventive maintenance of buildings and equipment through the development of appropriate programs.
- Assisting registered old and useless (damaged) fixed assets and materials avoid/clear through auction or other means.
- Ensuring that vehicles are covered by insurance; submitting renewal requests before the insurance period expires; and ensuring that it is followed up.
- Supervising and providing direction to employees under him (kitchen, cleaners, security guards, messenger).
- Ensuring that food and other procurement requests are met appropriately, maintaining a list of suppliers, and monitoring cost-effective procurement.
- Liaising with office rent providers to ensure that complete services are provided.
Requirements
Key Skills:
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office
- Knowledge of facility maintenance procedures
- Problem-solving and decision-making skills
Qualifications:
- Bachelor's degree in a related field (e.g., General Management, Facilities Management, Business Administration)
- Relevant experience in administration and facilities management, typically 3-5 years
- Certification in Facility Management is a plus
