Role Summary
The Office Manager (Defense Attaché Office) is responsible for ensuring the smooth administrative, operational, and logistical functioning of the office. The role includes administrative coordination, communication support, event organization, research assistance, and ensuring operational continuity during the absence of the Defense Attaché. The position requires discretion, integrity, strong organizational ability, and the capacity to work in a multi-cultural and sensitive diplomatic environment.
Duties and Responsibilities
- Manage the overall administrative operations of the Defense Attaché Office, including correspondence, translation, courier services, appointments, telephone handling, and document filing
- Conduct open-source research to support reports, presentations, and briefings
- Support planning, coordination, and follow-up of official visits and business trips
- Assist in managing and maintaining contact networks including DA community, external partners, and headquarters
- Support representation activities including organization of official dinners, business lunches, and events
- Assist in planning activities such as agenda preparation, budgeting, and annual planning
- Organize visitor programs for delegations and official international or government visits
- Ensure smooth operation of the office during the absence of the Defense Attaché
- Perform additional duties as assigned by the Defense Attaché
Requirements:
- Ethiopian citizen or dual citizen (CHE–ETH)
- Fluency in English, Amharic, and Afaan Oromo is mandatory
- Clean professional reputation with strong integrity, discretion, and courtesy
- Interest in working in a structured and disciplined environment related to defense or military affairs
Professional Experience:
- Completed education (high school, college diploma, or equivalent) in Business Administration or related field
- Minimum of 2 years relevant experience in administration, civil society, government, private sector, or international organizations
- Strong understanding of administrative and financial processes and related management tools
Skills:
- Strong interpersonal and teamwork skills
- Excellent communication and organizational abilities
- Ability to work independently and under pressure with minimal supervision
- High flexibility and adaptability in dynamic environments
- Strong sense of responsibility and accountability
- Good computer skills, especially Microsoft Office Suite and Outlook
- Ability to work effectively in multi-disciplinary and multicultural teams
- High level of integrity and professionalism
