The Embassy of Switzerland in Ethiopia is currently looking for an Executive Assistant to the Ambassadors to provide administrative and management support to the Ambassadors and ensure the smooth day-to-day running of the Executive Office. The modalities of employment and application for the advertised position include the following elements:

Main duties and responsibilities that come along with this position:

  • Running the Ambassador's Office, among others coordinating meetings, events, maintaining and managing contact lists, liaison with contacts and partners;
  • Managing all incoming and outgoing correspondence (letters, diplomatic notes, electronic correspondence);
  • Giving management support in various matters (joint calendar, team events, administrative support to visits and delegations, etc.)
  • Supporting the Event Management
  • IT-System Administration of the Embassy
  • Making travel arrangements for the Ambassador?s visits, members of the Political Team and incoming delegations of the Embassy;
  • Provide support to the Deputy Head of Mission and the Political Team (official correspondence, visits, etc.).

Direct superior: Head of Mission

Directly subordinated employee(s): Two

Starting on: As soon as possible (with a probation period of 3 months)

Administrative Unit & Duty Station: Embassy of Switzerland in Ethiopia (Addis Ababa)

Competence:

  • University degree (Bachelor?s level) in a relevant field such as Communication, Business Administration or Social Sciences;
  • General understanding of, and interest in, the social, economic and political context of Ethiopia;
  • Extensive experience as Executive Assistant to senior management or similar employment experience in a private sector, civil society or government institution;
  • Excellent oral and written communication in English and Amharic as well as in one of the Swiss national languages;
  • Trustworthiness and high social competencies.

Skills:

  • Excellent organizer and communicator;
  • Proven ability to work independently with minimum supervision;
  • Fast learner, taking initiatives, suggesting feasible solutions;
  • Highly developed IT skills; good working knowledge of software applications.?
