Position Summary
The Business Development Associate provides critical operational and coordination support to the Strategic Growth & Partnerships team. The role focuses on ensuring effective implementation and tracking of business development and grant-related activities, with project coordination comprising approximately 50% of the position.
The Associate will work closely with the Proposal Development Specialist and the Grant & Business Development Manager to enhance proposal success rates, streamline documentation, and ensure on-time, compliant project execution and reporting.

Key Responsibilities (Indicative Time Allocation)
1. Project Coordination and Tracking
- Manage day-to-day coordination of awarded and pipeline projects, ensuring timely progress on tasks, deliverables, and milestones.
- Maintain detailed project trackers, milestone logs, and dashboards to monitor implementation and flag potential risks.
- Coordinate activities with internal teams (Technical, Finance, Operations) and external partners or contractors.
- Ensure timely submission of donor deliverables and compliance documentation.
- Maintain accurate digital and physical project records, including contracts, MoUs, work plans, and budgets.
- Support logistics for project activities such as workshops, field visits, and stakeholder engagements.
- Prepare concise monthly status summaries for review by the Grant & Business Development Manager.
2. Proposal Development Support
- Assemble standard proposal attachments (organizational profiles, CVs, annexes, budgets, certifications).
- Conduct preliminary eligibility checks for funding calls and summarize key donor requirements and deadlines.
- Maintain and update the grant opportunities tracker; highlight priority calls.
- Support drafting of concept notes, data inputs, and proposal sections as required.
- Coordinate internal review processes and ensure timely, compliant submissions.
3. Research and Data Collection
- Conduct initial research on funders, donor priorities, and industry trends.
- Collect and organize data for proposals, reports, and case studies (market data, baseline indicators, success stories).
- Maintain an updated evidence and reference library for use in proposal development.
- Assist in developing monitoring indicators and simple data collection tools.
4. Team and Stakeholder Coordination
- Facilitate communication and coordination among team members, departments, and external stakeholders.
- Schedule and document meetings; circulate notes and track action items to completion.
- Represent Green Scene Energy in relevant meetings and events as delegated.
- Support reporting on departmental activities, performance, and external engagements.
5. Grant Opportunity Identification and Database Management
- Identify and categorize new grant funding opportunities aligned with Green Scene’s strategic priorities.
- Maintain a clean, updated database of opportunities, including source details, eligibility, and deadlines.
- Conduct preliminary screening and eligibility analysis for potential grant calls.
Qualifications and Experience
Minimum Requirements
- Bachelor’s degree in Business Administration, Development Studies, Project Management, Environmental Science, Engineering, or related field.
- Minimum of 2 years’ experience in project coordination, grants administration, or business development.
- Proven ability to maintain multiple trackers, manage documentation, and coordinate complex projects.
Preferred Qualifications
- Experience with donor-funded projects (bilateral, multilateral, or foundations).
- Familiarity with donor reporting formats and compliance requirements.
- Proficiency in Google Workspace, Microsoft Office (especially Excel), and project management tools such as Notion.
- Understanding of the clean energy or clean cooking sector in Ethiopia or the region.
- Experience in strategic communications, research, consultancy, or partnership management.
Skills and Competencies
- Exceptional organizational and multitasking skills with strong attention to detail.
- Excellent written and verbal communication in English (Amharic proficiency an advantage).
- Strong time management and ability to meet tight deadlines with accuracy.
- Proven teamwork and interpersonal skills for cross-functional coordination.
- Quantitative and analytical capability for data handling and reporting.
- Advanced proficiency in Excel and related analytical tools.
- Proactive, dependable, and solutions-oriented approach.
- Professional integrity and discretion in handling confidential information.
Preferred Skills
- Knowledge of renewable energy and climate-related projects.
- Familiarity with Ethiopian business procedures and donor mechanisms.
- Experience using CRM or grant management software.
- Ability to operate effectively in environments with intermittent power or connectivity.
Compensation and Benefits
- Gross Salary: ETB 20,000 per month
- Performance Commission: Up to ETB 15,000 per month based on target achievement and departmental metrics (attached)
- Grant Success Bonuses: Additional performance-based incentives for successful grant applications and disbursements
Work Environment
- Full-time work model based in Addis Ababa, Ethiopia.
- Office Hours: 8:30 AM – 5:30 PM, Monday to Friday, and half-day on Saturday.
- Dynamic, collaborative work environment within a growing renewable energy company.
- Occasional travel for project coordination, donor meetings, or field visits may be required.
