About the Role:
As Executive Secretary, you'll be instrumental in ensuring the smooth and efficient operation of the CEO's office. You'll handle a diverse range of responsibilities, requiring impeccable organizational skills, attention to detail, and the ability to manage confidential information with the utmost discretion.
Key Responsibilities:
- Confidentiality & Document Management: Manage sensitive documents and information, ensuring their absolute security and confidentiality.
- Executive Support: Provide comprehensive support to the CEO, including managing their agenda, attending key events, and accurately taking meeting minutes.
- Correspondence & Reporting: Compile, proofread, and revise drafts of various documents and reports. Prepare reports, presentations, and correspondence swiftly and accurately.
- Administrative Efficiency: Handle daily record-keeping and filing. Professionally answer and screen telephone calls, and respond to emails, messages, and other correspondence.
- Calendar & Travel Management: Expertly manage a busy calendar, coordinate meetings, and arrange travel itineraries.
- Guest Relations: Professionally greet and receive guests and clients, representing the company with excellence.
- Information & Assistance: Ensure efficient and effective administrative information flow and assistance to the CEO and relevant stakeholders.
Requirements:
- Experience: A minimum of 5+ years of experience as an Executive Secretary.
- Office Management Expertise: Profound experience in office management best practices.
- Technical Proficiency: Strong practical experience with Microsoft Office Suite.
- Organizational Prowess: Excellent organizational and time-management skills, with the ability to prioritize effectively.
- Communication & Negotiation: Outstanding communication and negotiation abilities.
- Language Skills: Excellent communication skills in both Amharic and English.
