Duties and Responsibilities
The post is located in the Facilities Management Section at the Economic Commission for Africa (ECA). Under the supervision of the Chief PPI Unit, the Lease Processing Assistant will be responsible for the following functions:
- Creating, managing, renewing, and terminating Real Estate leases.
- Filling a form and liaising with the focal person in SCMS for new BP creation.
- Collaborating with the facility planner for the creation of Architectural objects, Usage objects, and pooled space.
- Working with the facility manager for approval and release of rental objects.
- Checking business partners for the lease contracts as a lease processor.
- Creating Lease Out contracts (External and Internal).
- Liaising with the lease approver for contract approval.
- Updating all information related to lease contracts.
- Creating lease conditions and simulating posting for Lease Out External contracts.
- Liaising with UN agencies for coding block updates in the system for Lease Out Internal contracts.
- Creating lease conditions for Lease Out Internal contracts after generating earmarked funds.
- Confirming the correctness of cash flow after posting simulation of Lease Out contracts.
- Liaising with finance section for actual posting.
- Updating terms and renewals in the system for commercial and catering service contracts.
- Preparing annual rental income of premises master data updates for any changes.
- Liaising with budget and business units for rental income projections.
- Conducting rental market surveys of buildings in town and assessing all services associated with rental.
- Analyzing existing MOUs and liaising with BMMU, BU, and PPIU unit to build service level agreements.
- Preparing a comprehensive service catalogue for FMS while liaising with BMMU, BU, and PPIU.
- Performing other related activities assigned by the Chief PPIU.
Qualifications/Special Skills
High school completion is required. Financial knowledge and administration skills are required. Five years of progressive experience directly related to Finance and Accounting. Work experience in the United Nations system would be an asset.
Languages
Fluency in English is required.
