Reporting To: General Manager / Business Owner

Job Summary:

The Operations Manager is responsible for overseeing the daily operations of the construction machinery rental business. This role involves managing machine operators, coordinating equipment usage, ensuring timely servicing and maintenance, handling spare parts procurement, and maintaining accurate records of work, time, and expenses. The manager plays a key role in ensuring efficiency, minimizing downtime, and supporting business growth.

Key Responsibilities:

1. Equipment & Operational Oversight

  • Assign and supervise daily machinery usage based on job requirements.
  • Coordinate equipment delivery, movement, and on-site logistics.
  • Track machine operating hours and schedule downtime for routine maintenance.

2. Operator & Staff Management

  • Supervise machine operators and assistant operators.
  • Monitor employee attendance and productivity.
  • Enforce safety procedures and work discipline.
  • Support hiring, training, and evaluation of operational staff.

3. Maintenance & Spare Parts

  • Create and maintain a preventive maintenance schedule.
  • Monitor machine conditions and arrange for timely servicing.
  • Identify spare part needs and coordinate procurement from vendors.
  • Verify quality and cost-efficiency of spare parts and service work.

4. Time Sheet & Reporting

  • Review and approve daily and weekly timesheets for both operators and equipment.
  • Maintain detailed logs of machine working hours and operator shifts.
  • Report operational metrics to management on a weekly basis.

5. Procurement & Inventory

  • Source spare parts, fuel, and supplies from approved vendors.
  • Maintain stock records and reorder levels.
  • Ensure timely delivery of parts and track usage.

6. Compliance & Documentation

  • Ensure machines are registered and renewed on time (plate number, librea, inspection).
  • Track and ensure renewal of business licenses, fitness certificates, and tax filings.
  • Maintain up-to-date operational records for audits and inspections.

7. Cost Management & Budgeting

  • Monitor expenses related to service, fuel, and spare parts.
  • Prepare monthly operational cost reports for management.
  • Suggest cost-saving measures without compromising quality.

8. Customer Support & Job Scheduling

  • Liaise with clients to schedule machine rentals and job site requirements.
  • Ensure equipment is delivered on time and in working condition.
  • Resolve operational issues or delays affecting project timelines.

Qualifications:

  • Diploma or degree in Mechanical Engineering, Construction Management, or related field.
  • Minimum 3 years of experience in machinery rental, construction, or heavy equipment operations.
  • Strong organizational and communication skills.
  • Ability to lead and supervise a small technical team.
  • Working knowledge of Excel and basic accounting principles is a plus.
  • Valid driver’s license preferred.
