Position Purpose/​Summary

The Admin Support Intern will assist the Operations team in ensuring smooth day-to-day administrative, logistical, and program coordination support. The role is designed for a motivated individual eager to gain hands-on experience in office management, client communication, and operational support within a professional development consulting environment. The intern will provide assistance in maintaining filing systems, preparing reports and minutes, supporting meetings and events, and ensuring the overall efficiency of administrative processes.

Main Duties & Responsibilities

Administrative Support

  • Maintain organized filing systems (physical and digital) for program, administrative, and client records.
  • Schedule meetings, prepare agendas, take minutes, and provide concise meeting summaries.
  • Accompany the Country Director in meetings to take notes and record actionable follow-ups.
  • Handle reception duties, including welcoming guests and clients, ensuring a professional and comfortable office environment.
  • Track and manage communications with clients to support relationship management.
  • Assist in preparing presentations, reports, and other documentation for internal and external use.
  • Support database management for clients and partners.
  • Assist with basic bookkeeping or expense tracking for small operational costs.
  • Ensure compliance with office safety and housekeeping norms.

Logistics and Procurement

  • Provide logistical support by arranging venues, transportation, and supplies required for office and project activities, including trainings and fieldwork.
  • Assist in collecting quotations from vendors and support procurement documentation under the supervision of the Operations team.
  • Maintain an updated inventory of office supplies and support timely replenishment.
  • Assist in maintaining social media analytics or engagement tracking for marketing effectiveness.
  • Support coordination with remote team members or consultants as required.

Program Management Support

  • Assist in organizing and coordinating training workshops, consultations, and other programmatic events.
  • Support updating project management tools for tracking progress, deliverables, and timelines.
  • Help the Program Management team in tracking progress and following up with team members to ensure project deadlines are respected.
  • Assist in collecting and consolidating feedback and inputs from partners, clients, and stakeholders.

Other Duties

  • Perform any other duties assigned by supervisor aligned with daily operational and strategic objectives.

Key Selection Criteria

Education:

  • Currently enrolled in or recently graduated from a bachelor’s program in Business Administration, Management, Economics, Development Studies, or a related field.

Experience:

  • Prior internship or volunteer experience in administrative or office support preferred.
  • Familiarity with professional communication, document management, and coordination tasks.

Key competencies for Admin Support Intern

Technical Skills:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Basic understanding of office procedures, recordkeeping, and event logistics.

Communication Skills:

  • Good written and verbal communication skills in English and Amharic; knowledge of Afaan Oromo is an asset.
  • Ability to draft meeting notes, correspondence, and simple reports.

Soft Skills:

  • Attention to detail and ability to multitask.
  • Positive, proactive attitude and willingness to learn.
  • Ability to work collaboratively in a multicultural environment.
