People in Need (PIN) would like to invite an energetic, disciplined, responsible Female intern applicant to work under the Emergency department

Length of internship: for 6 months

Number required: 1 (one)

Salary: 6,500 ETB

Place of Work: - Based in Addis Ababa with frequent field travel to PIN’s project sites in different regions as required.

Job Role: Under the general guidance and supervision of the Emergency program manager, the Intern will learn in assisting, planning, coordination and follow up of grass root level activities for Emergency department.

Technical and project related areas of learning /for interns to involve

  • Provide continuous support to the programmed team as required and share skill.
  • Contribute to collecting, organizing, analyzing and archiving program implementation data
  • Support procurement team when its needed.
  • Prepare payment documents coordinating with program manager and logistic officer.
  • Support Logistic officer during truck loading and unloading.
  • Support the recording and update of physical and digital inventories using PIN standards.
  • Organize Logistic documents and upload on share points on monthly bases.
  • Asist field staff remotely as well in person.
  • Provide basic translations of documents
  • Liaise with the logistics department in scheduling necessary travel and accommodations for domestic and international trips.
  • Liaise with the HR department on following and tracking positions for recruitments, etc.
  • Support the Head of Emergencies in implementing key PIN policies and updating teams on any changes.
  • Support with scheduling and arrangements (booking rooms, preparing refreshments, etc.) for meetings, trainings, etc.
  • Take notes at all key meetings and follow-up on action points as requested by the Head of Emergencies.
  • Maintain an Emergency Team calendar with key events, meetings, deadlines, etc. and sending reminders as required.
  • Monitor administrative supplies, prepare purchase requests for small scale administrative purchases, and track basic administrative budgets as requested by the Head of Emergencies and in coordination with the logistics and finance teams.
  • Other tasks as assigned by the Head of Emergency

TEAM REQUIREMENTS

  • Maintain good personal relations in the team
  • Actively collaborate with PIN’s other ongoing Emergency team members in the Emergency operation areas when required
  • Any other tasks as requested by the line managers

PIN stipulates the right to assign the Intern any other kind of work derived from his specialization. In case of urgent work and such like the Intern may be asked to work overtime as well as during public and other holidays.

In case that larger number of different tasks is to be fulfilled by the Intern at the same time, the Intern shall accomplish the urgent and more important duties first.

Furthermore, the Intern is responsible for:

  • Correctness and completeness of information acquired
  • ensuring timely and effective implementation of Emergency activities and meeting set results
  • archiving of all entrusted and acquired documents in proper manner

The Intern is obligated not to purvey any information concerning any of PIN activities to outsiders (including former PIN employees, who may no more be informed about current process in PIN).

The Intern’s position within the institution requires contacts with outside; he or she therefore conveys a certain image of the PIN. PIN expects its interns to behave in appropriate manners at all times and in all places. All members of staff and interns should ensure their attitudes correspond to PIN principles, both during and after working hours.

The Intern takes over the responsibility for all entrusted material and documents. The Intern is obligated to cover all damages or losses caused by his/her carelessness. The Agreement of Liability of Assets has been signed separately.

About You

  • Minimum BA degree in Humanitarian Studies, Disaster Risk Management, Public Health, Environmental Health, Water, Sanitation and Hygiene (WASH), Civil Engineering, Social Sciences, International development, Logistics and Supply Chain Management, and other related fields of study from a recognized higher education institution
  • Only Graduates of 2023 or 2024 E.C
  • Only zero years of work experience required
  • Good interpersonal communication skills
  • Organizational skills and attention to detail
  • Good judgment regarding confidentiality and respect for sensitive materials
  • Ability to work in a team environment
  • Only Female Candidate
  • Excellent knowledge of spoken & written Amharic and English
  • 3 strong references (will be crosschecked/contacted.
