Job Summary:

The Finance and Administration Officer is responsible for managing the day-to-day financial operations, office administration, and HR documentation of Pulse Point Trading PLC. This role ensures that all financial activities align with the Operational Manual and that the General Manager has accurate data for decision-making.

Reports to: General Manager

Key Responsibilities

  • · Transaction Management: Process all payments, including fees, per-diems, and operational costs.
  • · Budget Monitoring: Assist the GM in comparing actual project spending against the original proposals.
  • · Tax & Audit: Ensure the PLC is compliant with local tax regulations (VAT, Income Tax, Pension) and prepare files for annual audits.
  • · Petty Cash: Manage the office petty cash fund under the GM’s strict supervision.
  • · Project Administration Contract Management: Maintain a secure archive of all Professional Service Agreements and Client Contracts
  • · Logistics Coordination: Facilitate transportation for field work as mandated by the Operational Manual.
  • · Invoicing: Generate and track client invoices, ensuring follow-ups on accounts receivable.
  • · HR and Office Support Records: Maintain personnel files for all partners, staff, and external consultants.
  • · Procurement: Manage office supplies and equipment, ensuring all purchases follow the GM approval workflow.
  • · Monthly Financial Summaries: Prepare a monthly "Statement of Activity", detailing cash flow.
  • · Tax Filing: Responsible for the timely and accurate filing of VAT, Withholding Tax (WHT), and Employee Income Tax (PAYE) via the e-filing system.
  • · Regulatory Updates: Stay informed on changes in Ethiopian tax proclamations and advise the GM on any necessary adjustments to the operational manual or consultant rate

Qualifications

  • BA Degree in Accounting, Finance, Business Management, or a related field.
  • Experience: 1 years of experience in finance/admin, preferably within a business or PLC environment.
  • Technical Skills: * Proficiency in accounting software (e.g., Peachtree/Sage or QuickBooks) and MS Excel.
  • Familiarity with Ethiopian tax laws and GAAP.
