Purpose of the Job

The Logistics Coordinator - Fleet and Warehouse will be responsible and accountable for the delivery of all Central Office fleet and warehouse-related activities in accordance with SNV Ethiopia logistics policies and procedures.

S/he shall ensure that SNV fleet and warehouse activities are carried out in compliance with SNV’s Policies as well as national legislation. S/He carry out responsibility through efficient and effective organization and coordination of the fleet and warehouse activities,

Job Description

Operation delivery

  • Supervises and ensures the functions of the fleet and warehouse unit in accordance with SNV fleet and warehouse policy and procedure.
  • Closely monitor the overall condition and safety of SNV own and rental vehicles and motorbikes to provide effective and efficient transport service for quality program delivery.
  • Ensure the fleet policy is adhered to by both SNV employees and partners’ employees.
  • Enforce compliance with SNV, donor, and government authority requirements by ensuring that SNV vehicles are always correctly insured and licensed.
  • Ensure all rental vehicles by SNV have proper insurance and licensing documents.

Warehouse and asset

  • Strategically manage in compliance with SNV asset and warehouse policies and procedures.
  • Initiate, coordinate and enforce optimal warehouse and asset operational policies and procedures
  • Ensure proper maintenance of standards of health and safety, hygiene, and security in the warehouse.

Management

  • Ensure all disciplinary matters are handled in a fair, transparent, and timely manner and in line with the SNV Ethiopia Human Resource Policy.
  • Ensure efficient fuel usage by checking on vehicles average fuel consumption rate using the consumption (liters) per km indicator.
  • Oversees fuel usage management on both cash and E-card at HO level, including fuel usage recording, handling of electronic fuel cards, and fuel replenishment on a monthly basis.
  • The Logistics Coordinator is responsible for managing the performance of the fleet and warehouse team.

Analysis and reporting

  • Maintains a management information system to monitor and analyse data on operation support services performance and resources. Gives input on the performance of a particular operation support service to the Operations Manager.
  • Regularly analysing the information in each of the Vehicle Logbooks, combining this with other specific fleet information, presenting it in the Fleet Status Report, and monthly submission to the operation Manager
  • Ensuring that all accidents or other incidents are reported, recorded correctly, and investigated and coordinating with the safety & security coordinator to improve safety standards on an ongoing basis.
  • Ensure proper asset tracking and inventory systems according to the SNV asset management system and provide support to other field offices as necessary.

Business Development

  • Assesses support requirements against project objectives and operating environment. Informs on support activities during future project implementation.
  • Ensure that fleet software implementation and a system of fleet planning are devised to deliver the most efficient fleet service within the program. This should incorporate systems for booking vehicles and drivers, considering downtime for planned maintenance and repairs.
  • Ensure that the most efficient, cost-effective means of repairing and maintaining vehicles is found.
  • Ensure that all vehicles are regularly maintained and serviced according to schedule.

Advisory services

  • Assesses and advises on the quality of support delivery against the project needs. Advises projects on adopting efficient operation services according to guidelines and standard procedures.
  • Ensure that all relevant SNV employees, service providers, and partners are fully aware of and trained in their responsibilities with respect to the Country Fleet Policy.
  • The logistics coordinator should check that all fleet and warehouse-related rules are being adhered to.
  • Provides standard road safety and code of conduct procedures to all drivers, including SNV and rented vehicle drivers as well as truck drivers. Follow up on the implementation of SNV driving, safety and security regulations for SNV and rented vehicles and report any inconsistencies.
  • Facilitate and provide capacity building to all the drivers to keep them up to date with the technologies and with their technical skills like defensive driving, health and safety etc.
  • Focal person for any fleet, asset, and warehouse requests.

Process development

  • Identifies, proposes and implements organization and process improvements in line with the organization’s needs and requirements and external developments.
  • In coordination with the operation manager, coordinate the countrywide fleet resources and analyse the existing fleet usage to determine future requirements for the Fleet
  • Rental and other FA in collaboration with the procurement unit.
  • Take up any additional responsibilities assigned by the line manager.

Qualifications

Educational Qualifications and Experience

  • Master’s degree in relevant discipline in Procurement and Supply Chain Management, Logistics, Business Administration, Management, or a related field.
  • A minimum of 8 years of working experience in Fleet and Warehouse Management.
  • Strong knowledge of fleet, warehouse management practices.
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) and SharePoint. Experience with ERP systems like SAP BD.
  • Strong analytical and problem-solving skills.
  • Experience in team management.
  • Effective communication and interpersonal skills.
  • Ability to work independently and meet deadlines.
  • Ability to plan with good organizational skills, including prioritization and the ability to work under pressure.
  • Training in Auto mechanics and level 2 or 3 driving license is an advantage
  • GPS tracking system experience is an advantage.
  • High level of integrity and ethical conduct.

Additional Information

Contract Type: National - Full time

Expected start date: As soon as possible

Duty Station: Addis Ababa

Contract Duration: Ten Months with the possibility of extension based on performance and budget availability.
