Job Summary

We are seeking a Fleet Coordinator to join our dynamic team and play a vital role in maintaining the highest standards of fleet safety and compliance. The successful candidate will be responsible for coordinating day-to-day fleet activities, ensuring our vehicles meet all safety and legal requirements, and supporting incident management and business continuity. This role is crucial in promoting a culture of road safety and fleet compliance across our operations.

The purpose of the Fleet Coordinator role is to support safe, compliant, and efficient fleet operations by coordinating day-to-day fleet activities, ensuring vehicle safety compliance, supporting incident management, and enabling business continuity through effective fleet governance, reporting, and supplier coordination. The role plays a key part in embedding road safety, fleet compliance, and wellbeing standards across Safaricom operations in alignment with legal requirements, company policies, and best practices.

Key Accountabilities and Decision Ownership:

Fleet Operations & Coordination

  • Coordinate daily fleet operations to ensure vehicles are available, roadworthy, and fit for purposes.
  • Support vehicle allocation, utilization tracking, and scheduling in line with operational requirements.
  • Act as the primary coordination point between drivers, line managers, fleet suppliers, and service providers.
  • Support vehicle onboarding, handover, off-hire, replacement, and decommissioning processes.

Fleet Safety & Compliance

  • Support implementation of Safaricom’s Fleet Safety and Road Safety standards across the business.
  • Ensure vehicles meet statutory, insurance, inspection, and licensing requirements always.
  • Maintain accurate fleet compliance records including vehicle inspections, permits, insurance, and licenses.
  • Support driver compliance including valid licenses, inductions, and required safety training (e.g., defensive driver training).

Incident Management

  • Support reporting, documentation, and coordination of fleet-related incidents, accidents, near misses, and breakdowns.
  • Assist in investigations to identify root causes and corrective actions.
  • Track and follow up closure of actions arising from incident investigations.
  • Coordinate with insurers, service providers, and internal stakeholders on accident repairs and claims.

Maintenance & Supplier Management

  • Coordinate preventive and corrective maintenance schedules to ensure vehicle reliability and safety.
  • Liaise with approved garages, leasing companies, and fleet suppliers to ensure timely service delivery.
  • Monitor supplier performance and escalate recurring issues to the Fleet Operations Manager.
  • Validate supplier invoices against services delivered and contractual agreements.

Fleet Reporting & Data Management

  • Maintain up-to-date fleet records and databases.
  • Prepare regular fleet reports including utilization, incidents, compliance status, costs, and downtime.
  • Support analysis of fleet trends to identify risks, inefficiencies, and improvement opportunities.

Policy Implementation & Awareness

  • Support implementation and adherence to fleet, road safety, and vehicle use policies.
  • Assist with communication and awareness initiatives related to fleet safety and responsible vehicle use.
  • Support audits, inspections, and assurance activities related to fleet and road safety.

Key Performance Indicators:

Fleet Safety & Compliance

  • 100% compliance with vehicle licensing, insurance, inspections, and statutory requirements.
  • Timely completion of vehicle inspections and corrective actions.
  • Reduction in fleet-related incidents, accidents, and safety violations.

Fleet Operations & Availability

  • Improved vehicle availability and reduced downtime.
  • Timely resolution of breakdowns and maintenance issues.
  • Accurate and up-to-date fleet records.

Incident Management

  • Timely reporting and documentation of fleet incidents.
  • Closure of corrective actions arising from incident investigations within agreed timelines.

Supplier Performance

  • Adherence to service level agreements by fleet suppliers.
  • Reduced recurring supplier-related service failures.

Reporting & Governance

  • Accurate and timely fleet reports and dashboards.
  • Availability of reliable data to support financial responsibility.

Financial Responsibility:

  • Support monitoring and control of fleet-related operational costs.
  • Review and validate fleet supplier invoices.
  • Support raising purchase requisitions related to fleet services and maintenance.
  • Track expenditure against approved budgets and report variances.
  • Maintain proper documentation and records for fleet-related financial transactions.
  • Raising and reviewing all purchase requisitions related to the role.

Qualifications

Core Competencies, Knowledge and Experience:

  • Good understanding of fleet operations, vehicle safety, and transport compliance requirements.
  • Strong coordination and organizational skills.
  • Ability to communicate effectively with drivers, suppliers, and internal stakeholders.
  • Attention to detail and ability to manage records and reports accurately.
  • Problem-solving mindset with a proactive approach to risk identification.
  • 3–5 years’ experience in fleet coordination, transport operations, logistics, or a related environment.
  • Experience in a corporate or multi-site operational environment is an advantage.

Must Have Technical / Professional Qualifications:

  • Bachelor’s degree in Transport Management, Logistics, Engineering, or related fields.
