Job Summary
This is a foundational, entry-level role that provides administrative support to Human Resources managers and specialists.
The HR Assistant acts as the department’s operational backbone by ensuring daily tasks such as record keeping, recruitment logistics, employee inquiries, and HR documentation are handled efficiently and professionally.
Key Responsibilities
- Assist with posting job advertisements on recruitment platforms.
- Screen resumes and support shortlisting processes.
- Coordinate interview schedules between candidates and hiring managers.
- Facilitate onboarding processes for new employees.
- Prepare orientation materials and welcome packages.
- Handle offboarding procedures including termination paperwork and exit interviews.
- Maintain accurate digital and physical employee files.
- Update records related to attendance, leave, personal details, and performance reviews.
- Collect time and attendance data for payroll processing.
- Respond to employee questions related to payroll, leave, and HR procedures.
- Serve as the first point of contact for employee inquiries.
- Resolve minor HR issues or escalate them to senior HR staff.
- Support HR audits and maintain compliance records.
- Assist in ensuring company adherence to labor laws and employment regulations.
- Perform other related HR and administrative duties as assigned.
Qualification
- Associate or Bachelor’s degree in Human Resources, Business Administration, or related field.
Experience
- 1–3 years of experience in an administrative or HR-related environment is preferable.
Required Skills
- Strong proficiency in Microsoft Office Suite, especially Excel.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality of sensitive employee data.
- Good organizational and multitasking skills.
- Basic understanding of HR processes and documentation.
- Strong interpersonal and customer service skills.
- Ability to work independently and within a team.
