Main Duties and Responsibilities
- Perform all secretarial and administrative duties of the department Office:
- Writing letters, reports, and other documents.
- Handling incoming & outgoing calls, information & disseminating timely & accurately.
- Managing the filing system & keeping their confidentiality.
- Following and ensuring the availability of office material/equipment.
- Preparing minutes of the meeting information.
- Recording incoming and outgoing letters and extending them to the appropriate person.
- Handling organizational and clerical support tasks.
- Confirming letters are signed & fulfilling other requirements before receiving them.
- Confirming letters are signed & fulfilling other requirements before disseminating them.
- Informing meeting schedules to participants as necessary.
- Keeping office material/equipment properly.
- Receiving and helping office visitors/customers.
- Performing general office clerk duties.
- Coordinating events as necessary.
- Facilitating effective implementation of schedules arranged by the department such as meetings, seminars, trainings, workshops, briefings, & debriefings.
- Performing other related duties as required.
Qualifications
- Diploma/level IV CoC in Administrative Service Management/Secretary Science and Office Management with 4 years of relevant experience.
