Job Summary
The Operations & Administration Officer ensures efficient administrative, logistical, and operational functions to support smooth project delivery and organizational performance. The role focuses on office management, logistics coordination, procurement support, asset management, and compliance, enabling effective workflows and resource optimization.
Key Responsibilities
- Coordinate day-to-day operational activities to ensure smooth execution of projects
- Develop and enforce operational procedures, SOPs, and administrative guidelines
- Support resource planning, scheduling, and coordination across teams
- Manage office administration, including correspondence, filing, and supplies
- Oversee facility management, utilities, maintenance, and workspace organization
- Coordinate travel arrangements, bookings, and documentation for staff
- Organize workshops, meetings, trainings, and events
- Manage transport logistics, fleet coordination, and field mission arrangements
- Support procurement processes, vendor coordination, and compliance requirements
- Maintain asset inventory and oversee allocation, tracking, and maintenance
- Prepare operational and administrative reports and ensure compliance with policies
- Provide administrative updates and briefings to leadership
Qualifications & Requirements
- Bachelor’s or Master’s degree in Management, Business Administration, Operations, Logistics, Public Administration, or related field
- Minimum 4 years of experience (Bachelor’s) or 2 years (Master’s) in operations, administration, or logistics
- Strong organizational, planning, and coordination skills
- Ability to manage multiple tasks and work under pressure
- Strong problem-solving and attention to detail
- Effective communication and teamwork skills
- Proficiency in Microsoft Office and data management tools
