Key Responsibilities

  • Manage and maintain accurate inventory and stock records, ensuring all materials are properly recorded in both manual and electronic systems.
  • Receive, inspect, and verify incoming materials against purchase orders and delivery notes to ensure correctness in quantity and quality.
  • Issue materials to authorized departments or project teams in accordance with approved requests and organizational procedures.
  • Conduct regular physical stock counts, reconciliations, and periodic audits to identify discrepancies and take corrective action.
  • Ensure proper storage, labeling, and handling of materials to prevent damage, loss, or misuse.
  • Maintain organized and up-to-date documentation, including stock cards, bin cards, and inventory reports.
  • Monitor stock levels and support timely re-ordering to avoid shortages or overstocking.
  • Comply with organizational policies, donor requirements, and standard operating procedures, particularly in project or NGO environments.
  • Prepare regular inventory and stock status reports for management and project teams.

Requirements

  • Diploma or Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Minimum of 2+ years of proven experience in store or inventory management.
  • Prior experience working in an NGO, humanitarian, or project-based setting is highly preferred.
  • Strong knowledge of inventory control systems, stock management procedures, and documentation practices.
  • Good organizational and record-keeping skills with strong attention to detail.
  • Ability to work independently and under minimal supervision while meeting deadlines.
  • Basic computer skills, including experience with inventory software and MS Excel.
  • High level of integrity, accountability, and commitment to organizational policies.
