GeezJobs - Our Recruitment Department is currently on the lookout for exceptionally qualified professionals to take on the role of  Commercial Building Administrator at our client's company.

Responsibilities:

1. Tenant Relations:

  • Serve as the primary point of contact for tenants, addressing inquiries, concerns, and requests in a timely and professional manner.
  • Foster positive relationships with tenants by providing exceptional customer service and promptly resolving issues.
  • Coordinate tenant move-ins, move-outs, and lease renewals, ensuring smooth transitions and adherence to lease agreements.

2. Property Maintenance and Inspections:

  • Conduct regular inspections of the property to identify maintenance needs, safety hazards, and cleanliness standards.
  • Coordinate and oversee maintenance and repair activities, including obtaining bids, scheduling contractors, and ensuring work is completed to satisfaction.
  • Maintain accurate records of maintenance activities, expenses, and warranties.

3. Budgeting and Financial Management:

  • Assist in the development of annual operating budgets and capital improvement plans.
  • Monitor expenses and revenue streams to ensure financial goals are met and expenses are within budgetary constraints.
  • Review invoices, track expenses, and process payments on time.

4. Lease Administration:

  • Maintain lease records and ensure compliance with lease terms and conditions.
  • Coordinate lease negotiations, prepare lease documents, and enforce lease agreements.
  • Track lease expirations and proactively work to minimize vacancies and maximize occupancy rates.

5. Vendor Management:

  • Negotiate vendor contracts and ensure services are performed to agreed-upon standards and within budgetary guidelines.

  • Build and maintain strong relationships with vendors to ensure reliable service delivery.

6. Emergency Response and Security:

  • Develop and implement emergency response plans to ensure the safety and security of tenants and property assets.
  • Respond promptly to emergencies, such as fires, floods, or security incidents, and coordinate appropriate actions with tenants, emergency services, and property owners.
  • Maintain security measures, including surveillance systems, access control, and alarm systems.

7. Regulatory Compliance:

  • Stay informed of relevant laws, regulations, and building codes related to commercial property management.
  • Ensure property compliance with health, safety, environmental, and accessibility regulations.
  • Obtain necessary permits and licenses as required by local authorities.

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, Marketing, Management, or related field (preferred).
  •  Proven experience in commercial property management or related field.
  • Strong knowledge of property management principles, practices, and regulations.
  • Excellent communication, interpersonal, and negotiation skills.
  • Ability to prioritize tasks, manage time effectively, and work independently.
