PATH Ethiopia seeks to recruit an HR and Administration Assistant (Temporary). Under the supervision of the HR Business Partner, the HR and Administration Assistant (Temporary) will be responsible for a variety of personnel-related administrative tasks. They will support the HR department in duties like updating the HR database, processing employees’ requests, onboarding, benefits administration, payroll, and related payments. They will follow up on contract extension and timesheet submission, filing, and insurance-related queries.
The candidate will work closely with all projects in the Country, and the HR and Administration Assistant will participate in maintaining and reviewing all administrative and human resource systems and procedures. They will ensure and provide operational support to the Country staff.
Major responsibilities include:
Human resource Operations and Administration
- Arrange staff onboarding sessions for new staff with the appropriate teams in the country office.
- Work with HR service providers such as insurance companies to onboard staff into the appropriate insurance schemes.
- Custodian of personnel files ensuring that all staff files are complete and updated frequently and appropriately.
- Compile paperwork necessary for any payroll related changes as and when appropriate for finance execution.
- With support from the Finance Director, implement HR policies by providing HR and labor Law policy interpretations to staff as and whenever required.
- Update the monthly leave tracker and work with line managers to plan and coordinate staff leave across the year.
- Manage staff exit procedures, exit interviews, liaise with finance over the appropriate terminal benefits and clearance forms.
- Ensure and follow up daily HR-related administrative duties are executed as per the expected quality in a timely manner.
- Maintain updated tracking of staff performance evaluations, different HR related staff data analysis.
- Follow that all increment, promotion, transfer, and disciplinary letters are written in compliance with personnel policy in timely manner.
- Ensure all personnel files are kept complete and maintained confidentially in a lockable cabinet.
Safeguarding Responsibilities:
- Promote and actively participate in initiatives and efforts to build team engagement, inclusion and cohesion in PATH
- Foster ongoing learning, honest dialogue, and reflection to strengthen safeguarding and to promote PATH values and adherence to PATH policies.
Job Requirement:
- University Degree in HR, Management, Business, or a related field from a recognized educational institution.
- Minimum of 2 years’ work experience in Human Resource management
- Excellent interpersonal and communications skills
- Ability to work independently, take initiative, meet deadlines with attention to detail and quality and monitor daily activities.
- Demonstrated intermediate computer skills in Microsoft Office Suite applications.
- Excellent interpersonal skills, sound judgment, communication skills, ability to identify and resolve constraints.
