KAKI PLC is an official dealer and assembler of ISUZU in Ethiopia. It is also engaged in different business lines including import, export, metal fabrication, after-sales services, and cargo freight transport operations. The company wishes to employ a qualified professional for General Service Division Head position:

General Duties and Responsibilities:

Under the supervision of the HR Administration & Development Department Manager, the General Service Division Head plans direct and controls the overall general service activities of the company. Ensures that vehicle management and security policies and procedures are implemented and regularly updated; ensures the provision of general office services including telephone, photocopy, water, and sanitary services. Follows up the maintenance of vehicles, buildings, office furniture and equipment; plans and supervises the provision of transport service. He/she is responsible for ensuring timely settlements of utility bills before due dates; and conducts an assessment of workplaces periodically and recommends on precautions to avoid accidents. Regularly submits performance reports to a supervisor.

Job Responsibility # 1: General Service Duties

  • Plans, organizes, directs, coordinates and supervises the general service activities of the Company;
  • Ensures that policies, procedures, and guidelines relating to the provision of general service activities of the company  are adhered to;
  • Ensures that accesses to company premises, movement of people at the point of entry and exit and the overall security services are reliable.
  • Follows up timely inspection of company vehicles, timely renewal of trade licenses, and insurance coverage of vehicles.
  • Ensures the utilization of service cars in compliance with company policies and procedure
  • Supervises the cleanliness of offices as well as premises periodically and ensures that cleaning materials are supplied in time and are utilized economically for the intended purpose;
  • Follows up and facilitates travel documents of the company staff and foreign guests;
  • Conducts assessment of workplaces periodically and takes preventive measures to avoid accidents on employees and fire accident to property.
  • Keeps and updates a database of the company’s vehicles including repair and maintenance expense, tire changed, fuel consumed, etc.;
  • Handles contract administration matters of office rent, outsourced security agreement, fire extinguisher service agreement and notifies expiry of the contract to immediate supervisor beforehand;
  • Ensures the provision of general office services including telephone, photocopy, water and sanitary services and  functioning of the same;
  • Follows up timely settlement of payments for land lease, renewal of trade licenses, office rent, outsourced service, and utility bills.
  • Follows up timely maintenance of vehicles, office furniture, and equipment.
  • Prepares annual plan and budget for the division

Job Responsibility # 2: Vehicle Management

  • Prepares annual vehicle service and maintenance plans for service vehicles and implements the same on approval.
  • Keeps and updates a database of the company’s vehicles including repair and maintenance expense, tire changed, fuel consumed, oil and lubricant used, etc.
  • Ascertains that fuel, oil and lubricant consummations of service cars are regularly checked and that they are used only for the intended purpose; recommends necessary changes to enhance internal control; 

Job Responsibility # 3: Staff Management

  • Directs, couches and mentors subordinates;
  • Assigns duties and supervises activities of subordinates reporting to him/her.
  • Assists in the identification of training needs of employees and participate in conducting on-the-job training;
  • Periodically appraises the performance of employees under his/her supervision.

Job Responsibility # 4: Reporting

  • Prepares periodic performance reports of the division and submits to the immediate supervisor;

Job Responsibility # 5: Others

  • Performs other related duties as assigned by the immediate supervisor.

 

Job Requirements

Qualification: B.A Degree or College Diploma in Management, Procurement & Supplies Management or related fields of studies

Work Experience: 6 Years for B.A Degree or 8 Years for College Diploma relevant work experience out of which 2 years at supervisory level

Required Competence: Advanced skill in MS-Office and ERP system applications
