Job Summary:
The Cashier and Office Assistant is responsible for managing daily cash transactions, providing administrative and secretarial support, maintaining accurate financial records, supporting human resource administration, managing office assets and inventory, and ensuring compliance with organizational policies, donor requirements, and Ethiopian government regulations. The role plays a key part in supporting the efficient financial and administrative operations of the field office.
Key Responsibilities:
- Manage daily cash transactions, including cash handling, petty cash management, bank transactions, and payment processing.
- Ensure all payments are properly authorized, adequately supported, correctly coded, and aligned with approved budgets.
- Prepare payment vouchers, checks, bank transfer requests, CPOs, and related financial documentation.
- Maintain updated cashbooks, bank books, and supporting financial records.
- Conduct periodic cash counts and reconcile cash balances.
- Monitor advances issued for travel, procurement, and project activities, ensuring timely liquidation and settlement.
- Ensure financial transactions comply with organizational financial policies and donor requirements.
- Deduct and settle payroll tax, pension, provident fund, withholding tax, and other statutory obligations in compliance with Ethiopian government regulations.
- Support monthly and annual financial closing activities.
- Prepare and organize financial documents for internal and external audits.
- Maintain professional filing and documentation of financial records.
- Handle secretarial and office support activities.
- Control office stores and organizational assets.
- Maintain updated personnel files, employment contracts, attendance records, leave records, and other HR documentation.
- Assist with payroll preparation and employee benefits administration.
- Ensure compliance with Ethiopian Labour Law and organizational HR policies.
- Support office administration systems and documentation.
- Manage office utilities, communication services, office supplies, and ensure related obligations are settled on time.
- Maintain updated fixed asset registers and inventory records.
- Ensure proper tagging, tracking, safeguarding, and verification of organizational assets.
- Conduct periodic physical inventory and prepare inventory reports.
- Maintain store records and stock movement documentation, including assets purchased for community handover.
- Coordinate with program teams to provide financial and administrative support for project implementation.
- Prepare timely financial and administrative reports for management.
- Support internal and external audits, assessments, and compliance reviews.
- Identify operational risks and recommend practical solutions.
- Maintain confidentiality, integrity, and accountability when handling financial and personnel information.
- Perform other duties assigned by the immediate supervisor.
Educational Qualification:
- BA Degree in Accounting and Finance, Finance, Accounting, Commerce, Business Administration, or a related field from a recognized institution.
Experience:
- Minimum of 5 years of progressive experience in cashier, office administration, and storekeeping roles.
- Experience working with NGOs is highly preferred.
- Experience in donor-funded project operations is an added advantage.
Required Skills and Competencies:
- Strong financial management, accounting, and office administration skills.
- Knowledge of procurement procedures, documentation, and cash control systems.
- Proficiency in Microsoft Excel, Word, and accounting software such as AIQ, QuickBooks, or Peachtree Accounting.
- Strong planning, coordination, and organizational skills.
- Excellent attention to detail and accuracy.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills in English and Amharic.
- Ability to manage multiple priorities and work effectively under pressure.
- High level of integrity, confidentiality, and accountability.
- Strong interpersonal skills and ability to work collaboratively within a team.
