Job Summary
On behalf of our client, We are seeking a proactive and detail-oriented Executive Assistant to support the Property Manager and executive team. This role is essential in ensuring smooth day-to-day operations, effective tenant communication, and organized property management administration.
Key Responsibilities
- Provide comprehensive administrative and operational support to the Property Manager and executive leadership.
- Manage tenant communications, including inquiries, complaints, and maintenance requests, ensuring prompt and professional responses.
- Prepare, organize, and maintain property-related documentation such as lease agreements, contracts, and reports.
- Coordinate property inspections, maintenance schedules, and viewing appointments.
- Maintain accurate digital and physical records of property transactions, correspondence, and documentation.
- Communicate and coordinate with service providers, contractors, and vendors to ensure timely property maintenance and services.
- Assist in rent collection tracking, invoice processing, and basic bookkeeping for property-related financials.
- Organize meetings, prepare agendas, record minutes, and follow up on action items as needed.
Qualifications & Requirements
- Diploma or Bachelor’s degree in Business Administration, Real Estate, Property Management, or a related field.
- Minimum of 2 years’ experience in an administrative or executive support role, preferably within the real estate or property management sector.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with property management software is a plus.
- Ability to maintain confidentiality and demonstrate a high level of professionalism.
