Job Summary:
The Finance and Administration Officer is responsible for maintaining accurate financial and administrative records, ensuring compliance with financial regulations, supporting budgeting and reporting processes, and managing the day-to-day administrative functions of the company. This role requires attention to detail, analytical thinking, and strong organizational skills to support the smooth functioning of the firm’s financial and operational activities.
Key Duties and Responsibilities
A. Financial Management
- Maintain accurate and up-to-date financial records and ledgers.
- Prepare and post journal entries for all financial transactions.
- Assist in the preparation of monthly, quarterly, and annual financial reports.
- Reconcile bank statements and ensure timely settlement of payables and receivables.
- Support budget preparation and expenditure tracking.
- Monitor cash flow and maintain proper petty cash control.
- Ensure all financial transactions comply with accounting standards, internal policies, and regulatory requirements.
- Assist with tax computations and filings, including VAT, withholding, and income tax declarations.
- Support external and internal audit activities by providing necessary documentation.
B. Administrative Management
- Oversee office operations and ensure smooth day-to-day administrative support.
- Manage procurement activities including vendor identification, quotation collection, and purchase order preparation.
- Maintain inventory and ensure proper utilization and tracking of office supplies and fixed assets.
- Organize meetings, travel, logistics, and correspondence.
- Support HR functions such as attendance tracking, leave management, and staff reimbursements.
- Maintain secure filing systems (electronic and physical) for financial, legal, and administrative documents.
C. Compliance and Control
- Support the implementation of internal financial controls and policies.
- Ensure proper documentation and approval for all financial transactions.
- Comply with company procedures and regulatory obligations set by the Ethiopian Capital Market Authority (ECMA) and Ministry of Revenue.
- Safeguard confidentiality and data integrity across all operations.
D. Coordination and Support
- Liaise with external partners including banks, vendors, auditors, and government offices.
- Support management with financial analysis and administrative planning.
- Participate in internal meetings and contribute to efficiency and cost-saving initiatives.
Qualification and Experience
- Education: Bachelor’s Degree in Accounting, Finance, Business Administration, or related field.
- Experience: Minimum of 2–3 years of experience in finance and administration, preferably in a financial institution, consulting firm, or corporate setting.
- Certifications: Progress toward ACCA, CPA, or related qualification is an advantage.
Competencies and Skills
- Sound knowledge of accounting principles and Ethiopian tax laws.
- Proficiency in Microsoft Excel and accounting software (e.g., Peachtree, QuickBooks, or similar).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication in English and Amharic.
- High ethical standards, integrity, and attention to detail.
- Ability to work independently and within a multidisciplinary team.
- Strong problem-solving and time-management abilities.
