Job Summary
The Receptionist serves as the first point of contact for visitors, clients, and employees, ensuring a welcoming and professional environment. The role involves managing front desk operations, handling incoming calls and correspondence, scheduling appointments, maintaining records, and providing administrative support to ensure the smooth operation of the office.
Education
- Diploma or Bachelor's degree in Business Administration, Management, Office Administration, Secretarial Science, or a related field.
Experience
- Minimum of 6 months of relevant experience as a Receptionist, Front Desk Officer, Customer Service Representative, or in a similar administrative role.
Key Responsibilities
- Welcome visitors, clients, and guests in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls to the appropriate departments.
- Manage incoming and outgoing mail, courier services, and email correspondence.
- Schedule appointments, meetings, and maintain office calendars.
- Maintain visitor logs and ensure compliance with office security procedures.
- Provide administrative support, including filing, photocopying, scanning, and document preparation.
- Keep the reception area clean, organized, and presentable at all times.
- Assist visitors by providing accurate information and directing them to the appropriate personnel.
- Maintain office supplies inventory and coordinate replenishment when necessary.
- Support other administrative tasks as assigned by management.
Technical Skills
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
- Basic knowledge of office equipment, including printers, scanners, and telephone systems.
- Strong data entry and record-keeping skills.
- Excellent written and verbal communication skills.
