Reporting to the Operation Coordinator, you will be the backbone of our daily functions, ensuring excellence across administration, logistics, procurement, and HR support. Key Responsibilities

Strategic Planning & Reporting

• Develop and execute comprehensive yearly, quarterly, and monthly activity plans.
• Submit timely monthly activity reports to ensure seamless administrative flow.
• Design and coordinate schedules for office administration, travel, and organizational events.

Administrative & Office Management

• Serve as the central point for meeting coordination, correspondence, and office memos.
• Manage domestic and international travel logistics, including flight bookings, accommodation, and itineraries.
• Oversee office assets and facility maintenance to ensure a productive work environment.

Logistics & Procurement Excellence

• Lead the logistical organization for workshops, field visits, and high-priority events.
• Support the full procurement lifecycle: prepare purchase requests, obtain quotations, and maintain vendor relationships.
• Ensure strict compliance with organizational policies and donor regulations while tracking inventory levels.

Innovation & Development

• Actively participate in the integration and implementation of the ERP system.
• Resolve operational challenges through proactive problem-solving and preventive measures.
• Commit to continuous professional growth through self-capacity building and mandated certifications.

Qualifications & Requirements

• Education: Bachelor’s degree in Business Administration, Management, Logistics, or a related field.
• Experience: At least 3-5 years of proven experience in operational support, ideally within an NGO setting.
• Technical Skills: Proficiency in standard office software/ERP tools and a solid understanding of HR and logistics functions.
• Soft Skills: Exceptional communication, conflict resolution, and multitasking abilities.
