Operation Smile is an international Not-for-profit organization that offers free surgeries to people born with cleft conditions. We envision a world in which health and dignity are improved through safe surgery. Founded in 1982, Operation Smile has had its presence in Ethiopia since 2005 with full blown programs in Jimma University Medical Centre and St Paul Millennium Medical College. Operation Smile Ethiopia has recently signed partnership agreement with Ayder Comprehensive Specialized hospital in Tigray to start Surgical and non-surgical Comprehensive cleft care program. Operation Smile Ethiopia (OSE) office is hiring Surgical Program Coordinator for its program at Ayder hospital . This is a full-time employment position based in Ayder hospital, Mekele, Tigray and reports to Surgical Program Manager of OSE.

Key Roles and Responsibilities

1. Responsible for overall coordination, periodic planning, monitoring and reporting of all Surgical and education program activities of Operation Smile Ethiopia in Ayder Comprehensive Specialized Hospital

2. Based in Ayder hospital, will coordinate tasks related to facilitating cleft patient recruitment, admission, patient referrals, sequencing patients for surgery, making post operation follow up and linkage with appropriate non-surgical comprehensive cleft care( nutrition, dental, speech and psychosocial ) services

3. In consultation and closely working with supervisor ,responsible for planning and coordinating short term surgical programs( STSP),Surgical training rotations(STR), visiting professorships( VP) and trainings at Ayder Hospital

4. Facilitates logistics for patients coming for cleft surgeries including transportation, accommodation, meals and others

5. Closely working with the hospital team, supervisor and other OSE team, identifying infrastructure, medical supply and equipment need at Ayder hospital for cleft and general plastic surgery

6. Responsible for periodic identification of medical supplies needed for cleft and general plastic surgery at the hospital, timely requesting, supporting Logistics team during cargo clearing of medical supplies coming through head quarter; receiving and proper storage of purchased medical supplies and equipment, ensuring proper usage during surgery, inventory management and reporting to the logistics team at OSE head office in Addis Ababa.

7. In collaboration with other OSE team, leads community mobilization activities for cleft surgical services including preparation of contents for airing through local medias, printed IEC materials ,and organizing outreach activities to recruit patients for cleft surgery

8. Ensure the safety of all patients based on the Global Standards of Care by working with

the Regional Medical Officer, Regional Program Manager, and other medical leadership.

9. Foster working relationship with Ayder Hospital leadership ,clinical and support staff, Tigray Regional Health Bureua and other like-minded partners working in the area

10. Closely work with Surgical Program Manager, Country Manager ,Finance and logistics team ,Education Coordinator ,Non-surgical program team, Regional Director, SubSaharan Africa Regional and other relevant OSI staff

11. Ensures patient data are regularly filled out at the hospital using both hospital’s and OSI’s registry tools such as PHR ,RedCap and others

12. Responsible for compiling ,preparing and sharing regular reports and updates of surgical program activities to supervisor, M&E and other OSE head office team

13. Execute any other activities assigned by immediate supervisor

Requirements

  • BA in Medicine /Medical Doctor (MD) from recognized university with at least one year of experience in planning and coordination of similar surgical programs
  • Excellent communication skill both writing and speaking in English, Amharic and Tigrigna .
  • Basic knowledge and skill of computer including Microsoft offices such as use of words, excel, internet, teams.
  • Motivated to work in hospital setting.
  • Skill of coordination and teamwork.
  • Easily coachable and willing to learn.
  • Willing to work during working hours; with flexibility of working out of regular work hours.
