The Administration Assistant will help manage the administrative, financial and logistical details in the Office and particularly the construction site. This includes coordinating information and workflow, updating and following up on delegated tasks to ensure progress to deadlines, keeping projects on schedule, scheduling meetings and maintaining procedures to ensure consistent performance of routine functions. Location: Bole Lemi Industrial Park Major Responsibilities Manage and organize office meetings, including support to the Resident Engineer diary and calendar of events. Prepare the requisite paperwork (agenda etc.), venues, contacting and coordinating participants/participation. Take minutes of meetings as required. Manage office activities such as travel logistics, travel advance requests, reimbursements/expense reports, conference registrations Liaise closely with the project and other office staff in facilitating operations of the organization and office Manage and maintain files and records of the office, and retrieve documents, records, and reports as requested Provide and/or ensure that other staff provide background information for meetings, and presentations; compile reference material as needed Review incoming mail for the Manager’s attention and re-route to appropriate staff and ensure participation/ engagement in invited events and follow up requests for support. Draft and develop routine correspondences for the Finance Manager and respond on his behalf on routine and administrative issues; Coordinate meetings for the Senior Management Team, including agenda preparation and taking minutes and follow up action items. Support communication between the Senior Management and Field Staff to take effective and responsive decisions; Review documents and external communication, ensuring correct grammar and syntax and accuracy of information; Update and follow up on delegated tasks to ensure progress to deadlines and Provide regular feedback Assist in preparing summary documents and ensure accurate, high-quality information for management/stakeholders/ partners meetings; Coordinate and manage visits of high-level visitors (and others as requested). Support the organization of high-level seminars and meetings Perform diverse secretarial duties and administrative functions requiring confidentiality General clerical duties including photocopying, fax, and mailing, Assume other responsibilities as assigned. Ensure discreet handling of all business and maintain confidentiality at all times. Job Requirements BA Degree in Business Administration, Admin, and Secretarial, Management or other related fields. 5 years’ experience in the international manufacturing sector. fully fluent in English preferably with exposure to an international company. Able to write official letters and correspondence. Excellent in Excel.
