About the Job

Under the authority and supervision of the Head of Mission and the Deputy Head of Mission, you will be required to perform the following tasks:

  • Ensure the day-to-day management of the Secretariat of the Embassy, including accounting using Microsoft Excel.
  • Manage the agendas of the Embassy team as well as the official correspondence and communication.
  • Liaise with other Embassies, UN agencies, and the African Union to coordinate meetings/events.
  • Oversee the archiving of all incoming and outgoing Embassy correspondence.
  • Assist with the management of accounting operations and manage the Embassy liquidities, ensuring all calculations and data entries are correct.
  • Monitor and ensure the proper execution of all Embassy-related payment transactions and maintenance contracts for expatriate staff residences.
  • Assist with the organization of incoming visits and official Embassy events, inside and outside Embassy premises.
  • Assist the Embassy staff in all administrative procedures related to their professional duties and life in the country of posting (diplomatic ID, drivers’ license).
  • Perform any other duties assigned by the Head of Mission and Deputy Head of Mission.

Qualification

  • Must have successfully completed secondary (or equivalent) studies or more.
  • Must be fluent in spoken and written English and Amharic.
  • Must have an intermediate level of spoken and written French (fluency in French is an advantage).
  • Must have solid experience in budgets and accounting.
  • Must be proficient in using Microsoft Office applications (Outlook, Word, and Excel).
  • Must have excellent time management and organizational skills.
  • Flexibility, resilience, patience, and the ability to deal with difficult situations are characteristics that distinguish you.
  • Must have a great sense of responsibility.
  • Must have a high level of discretion.
  • Must enjoy working in a small, young, and dynamic team and are ready to tackle a variety of challenges.

Please note that the employment contract, including the salary, is governed by the labour laws in Ethiopia.
