Job Summary:
AddisFly Travel Agency is seeking an organized, reliable, and proactive Admin Assistant to support daily administrative operations and ensure smooth functioning across all departments. The Admin Assistant will handle documentation, communication, scheduling, coordination, and general office management tasks. This role plays a key part in maintaining workflow efficiency, supporting staff, and ensuring that internal processes operate smoothly and professionally.
Key Responsibilities:
- Administrative Support: Provide day-to-day administrative assistance to management and staff, including preparing documents, organizing files, and handling internal communication.
- Office Coordination: Manage office supplies, ensure cleanliness and orderliness, and coordinate with vendors, maintenance personnel, and service providers.
- Document Management: Maintain accurate and updated records, digital files, and internal templates; assist with preparing reports and letters as required.
- Scheduling & Meetings: Coordinate calendars, schedule meetings, prepare meeting materials, and document minutes when needed.
- Communication Handling: Answer phone calls, greet visitors, and manage incoming and outgoing correspondence professionally.
- Support to HR & Finance: Assist with employee file management, attendance follow-up, basic data entry, purchasing small office items, and preparing documents for Finance as required.
- Travel & Logistics Support: Help coordinate staff travel, event arrangements, deliveries, and office errands.
- Process Compliance: Follow company policies, assist in implementing administrative procedures, and report any gaps or issues to leadership.
Required Qualifications
- Education: Diploma or Bachelor’s degree in Management, Business Administration, Secretarial Science, or a related field.
- Experience: 1–3 years of experience in an administrative or office management role (travel agency experience is a plus).
- Technical Skills: Strong computer literacy, proficiency in Google Workspace and Microsoft Office; ERPNext experience is an advantage.
- Communication Skills: Clear verbal and written communication; professional and polite interaction with staff and customers.
- Organizational Skills: Strong time management, attention to detail, and ability to handle multiple tasks simultaneously.
- Personal Attributes: Professional appearance, reliability, confidentiality, and a positive attitude.
