Job Summary
Neps International School is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the Academic Director and Head of School. The ideal candidate is efficient, tech-savvy, bilingual (English and Amharic), and able to manage multiple responsibilities in a dynamic and fast-paced school environment.
Key Responsibilities
- Administrative & Clerical Support
- Provide day-to-day clerical support to the Academic Director and Head of School.
- Draft and issue official letters and documents in English and Amharic.
- Maintain accurate and well-organized office records and documentation.
- Manage the school’s official information email account.
- Asset & Inventory Management
- Oversee asset inventory and stock management.
- Receive and record goods and supplies.
- Maintain updated inventory records and track asset movement.
- Human Resources Support
- Ensure staff attendance sheets are signed and properly filed.
- Prepare attendance summaries for payroll.
- Issue HR-related letters to staff as instructed.
- Supervise and monitor the work of cleaning staff and security guards.
- Utilities & Payments
- Ensure timely payment of water, electricity, and internet bills.
- Maintain organized records of payments and receipts.
- Maintenance & Infrastructure Follow-Up
- Coordinate and follow up on maintenance and repair work.
- Liaise with service providers including infrastructure technicians, plumbers, electricians, and EthioTelecom.
- Ensure issues are resolved promptly and efficiently.
- Communications & Social Media
- Create engaging content showcasing student activities (photo/video recording and editing).
- Manage and post content on Instagram, TikTok, Facebook, and LinkedIn.
- Maintain and strengthen the school’s professional digital presence.
- Digital Knowledge Management
- Manage and organize the school’s virtual knowledge reserve on Google Classroom.
- Ensure digital files and academic resources are properly archived and accessible.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Management, Communications, or related field.
- Excellent written and spoken English and Amharic.
- Mastery of Microsoft Office (Word, Excel, PowerPoint required).
- Strong organizational and time-management skills.
- Basic graphic design and video editing skills are an advantage.
- Strong sense of responsibility, discretion, and professionalism.
- Ability to multitask and work independently.
