Mothers and Children Multisectoral Development Organization (MCMDO) is a national Non-Governmental Organization registered in accordance with the proclamation for Civil Society Organizations Proclamation No 1113/2019 with a certificate No 0022. MCMDO is currently implementing 15 emergency response and development projects in all regions and City Administrations in Ethiopia. .

Job Summary:
An Executive Assistant (EA) is the backbone of executive leadership, handling critical administrative, organizational, and communication tasks to ensure smooth operations. Their responsibilities range from managing schedules and correspondence to coordinating projects and acting as a trusted liaison between executives and stakeholders.
Core Duties of an Executive Assistant
- Calendar & Scheduling Management
- Organize meetings, appointments, and events.
- Prioritize the executive’s time and avoid conflicts.
- Communication Handling
- Draft, proofread, and manage emails, letters, and reports.
- Act as the first point of contact for internal and external stakeholders.
- Travel & Logistics
- Arrange flights, accommodations, and itineraries.
- Handle expense reports and reimbursements.
- Meeting Support
- Prepare agendas, presentations, and briefing materials.
- Record minutes and follow up on action items.
- Project Coordination
- Assist with research, data collection, and project tracking.
- Ensure deadlines are met and deliverables are organized.
- Confidentiality & Discretion
- Handle sensitive information responsibly.
- Maintain trust and professionalism in all interactions.
Key Responsibilities
- Administration: Filing, record-keeping, office management, and document preparation.
- Executive Support: Acting as a gatekeeper, prioritizing tasks, and ensuring executive focus.
- Communication: Liaising with staff, board members, and external partners.
- Strategic Input: Providing insights, preparing reports, and assisting in decision-making.
- Technology Use: Proficiency in MS Office, scheduling software, and collaboration tools.
Qualification
- Education: Bachelor’s / Master’s degree in Business Administration, Management, or related fields
- Experience: 5+ years in executive or administrative support.
- Skills: Strong organizational ability, communication (English & Amharic), proficiency in MS Office/Google Workspace, discretion with confidential matters & Flexibility
