On behalf of our client, a growing import–export company, we are seeking a highly organized and professional Executive Secretary to provide high-level administrative support and ensure smooth coordination of daily business operations.
Key Responsibilities
- Provide executive-level administrative support to senior management.
- Manage and organize incoming and outgoing correspondence (emails, letters, calls).
- Prepare, review, and maintain business documents, including contracts, invoices, shipping documents, and reports.
- Coordinate meetings, appointments, travel arrangements, and company schedules.
- Liaise with suppliers, freight forwarders, customs agents, and clients to ensure smooth communication and timely follow-up.
- Maintain proper filing systems (physical and digital) for trade and administrative documents.
- Track shipments, monitor documentation flow, and follow up on pending approvals or payments.
- Prepare reports, presentations, and meeting minutes as required.
- Ensure confidentiality of sensitive company information.
- Support general office operations and administrative functions.
Qualifications & Requirements
- Bachelor’s degree in Business Administration, Management, Secretarial Science, or related field.
- Minimum 2-5 years of experience as an Executive Secretary, Senior Secretary, or Administrative Officer (experience in import–export or trading company is an advantage).
- Strong knowledge of documentation handling and office management systems.
- Excellent written and verbal communication skills both in Amharic and English
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
