Job summery

The Secretary is responsible to provide administrative support and ensure the smooth operation of our office. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask efficiently. Responsibilities include managing correspondence, scheduling appointments, and assisting staff and visitors.

Responsibilities

  • Handle phone calls, emails, and correspondence, ensuring timely responses and proper filing.
  • Manage calendars, schedule meetings, appointments, and travel arrangements for staff/executives.
  • Prepare, edit, and organize reports, presentations, and other documents.
  • Maintain office supplies, equipment, and ensure a tidy workspace.
  • Greet clients and visitors, direct inquiries, and provide general assistance.
  • Maintain accurate records, databases, and filing systems (physical & digital).
  • Take minutes, distribute agendas, and coordinate logistics for meetings.
  • Handle sensitive information with discretion and professionalism.
  • Assist other departments with administrative tasks as needed.

Qualifications

  • Educational background: - Diploma or bachelor’s degree in Secretary Science/Office Management.
  • Experience: - 3 years in Secretary or related field
  • Skills: - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office equipment (printers, scanners).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
