Job Summary
The Administrative/HR Intern assists with departmental document control, photocopying, scanning, printing, digital archiving, call routing, and meeting room management. Core duties include preparing basic business letters; managing office supply baselines; organizing onboarding events; sorting finance and logistics records; and maintaining complete organizational confidentiality.
Key Roles & Operational Responsibilities
1. General Administrative Support & Front-Office Operations
- Execute basic clerical duties, including photocopying, scanning, printing, and updating physical and digital document files.
- Coordinate on-site meeting room logistics: reserve event spaces, prepare administrative materials, and align participant schedules.
- Draft simple letters, operational memos, and routine business correspondence.
- Handle incoming phone calls and welcome international or local visitors with high courtesy and professionalism.
- Monitor internal office supplies and support the general organization and cleanliness of shared workspaces.
2. Cross-Departmental Support & Document Archiving
- Assist the Logistics team with physical document organization, folder archiving, and basic follow-up tracking.
- Support the Finance department in sorting, labeling, copying, and systematically arranging financial reports and receipts.
- Help the Country Representative with direct meeting coordination, schedule management, and simple administrative tasks.
- Assist in organizing internal events, including team celebrations, staff activities, and new hire onboarding sessions.
- Maintain strict professional confidentiality when handling sensitive organizational data across all departments.
Foundational Capabilities & Prerequisites
Required Technical Profile & Academic Track
- Academic Foundation: A minimum of a Bachelor's degree (BA) in Management, Business Administration, Human Resource Management, Law, or a related social science field from a recognized institution.
- Professional Experience: Fresh graduates with zero (0) years of work experience are eligible to apply. Previous experience in an internship or basic administrative activity is considered a valuable asset.
- Software Literacy: Basic computer skills, including a practical comfort level using MS Word and MS Excel.
- Language Command: Full verbal and written fluency in both English and Amharic is required.
