Job Summary
The Finance & Accounts Officer will support the Finance Manager in managing the company’s financial systems, internal controls, assets, cash flows, and reporting. The role ensures accurate and timely financial operations, compliance with statutory requirements, and effective management of company resources.
Key Responsibilities and Deliverables
Management of Financial Systems & Internal Controls
- Assist the Finance Manager in administering and monitoring the financial system for accurate and timely financial maintenance
- Implement financial policies and procedures
- Ensure internal controls are implemented and maintained
- Implement financial risk management and controls to maintain financial health
- Develop external relationships with auditors, bankers, and statutory organizations
- Ensure transactions are properly recorded in the computerized accounting system
Control & Management of Company Assets and Transactions
- Ensure all payments are authorized before execution
- Ensure salaries, wages, and reimbursements are paid accurately and on time
- Prepare and share correct, complete, and accurate sales invoices
- Perform analytical analysis of markup, margin calculations, and budget comparison
- Ensure accounts receivable and payable are reconciled and paid on time
- Complete periodic bank and payment reconciliations
- Scrutinize supporting documents for accuracy and authenticity
- Process and file statutory payments (PAYE, NSSF, NHIF, VAT, WHT, Corporate Tax, etc.) accurately and timely
- Maintain an orderly accounting filing system and secure company cheques
- Maintain control over accounting transactions
Preparation of Financial Management Reports
- Prepare accurate and timely financial management accounts
- Ensure compliance with local government reporting and tax requirements
- Maintain schedules supporting balance sheet items
- Prepare monthly, quarterly, and periodic treasury plans
- Maintain a vendors register and reconcile the general ledger
Management and Control of Cash-Flows, Working Capital, and Budgets
- Manage and control cash flows, working capital, and budgets
- Assist in budget preparation
- Establish and maintain cash controls
- Perform monthly budget vs. actual cost analysis
Office Management
- Manage filing, storage, and security of documents
- Respond to inquiries
- Maintain insurance coverage
- Ensure issuance of permits and licenses

Minimum Qualifications
- Degree in Finance, Accounting, or Economics
Minimum Experience
- 2-3 years of financial management experience in retail or FMCG
Knowledge, Skills & Abilities
- Excellent verbal and written communication skills
- Strong interpersonal skills
- Solid understanding of accounting principles
- Knowledge of local statutory legislation and regulations
- Proficiency in Excel and accounting software
- Effective time management and organizational skills
