Job Summary
The position holder will be responsible for handling the daily administrative and HR duties of an organization. He/she will provide clerical support to the staff and the department to support effective and efficient operations of the organization's human resource department.
Key Responsibilities
- Manage petty cash, organize, and archive financial documents with the necessary support documents.
- Handle Gambella Office petty cash fund and work advances as required.
- Manage petty cash funds properly and replenish them when the fund reaches the key allowed limit.
- Collect all debit or credit advice from all banks and submit for recording.
- Remind the Finance Officer of the maximum fund balance on a bi-weekly basis and collect justification for unspent cash.
- Ensure all financial documents are chronologically arranged and filed.
- Ensure all financial documents are scanned and uploaded to OneDrive.
- Process all cash payments as required.
- Provide support to the Program Area Finance Officer.
- Support tax-related activities with relevant tax authorities.
- Prepare monthly summaries of pension, income tax, and withholding tax and submit to the Finance Officer to facilitate payment.
- Facilitate payment transfers to suppliers, partners, and other stakeholders.
- Ensure safety of financial documents and adherence to organizational policies.
- Maintain proper filing systems to ensure documents are easily available and traceable.
- Report any identified potential and/or actual risks immediately.
- Provide finance-related support to staff.
- Support the Program Area Finance Officer during audit facilitation.
- Perform other related duties as assigned by the immediate supervisor.
Safeguarding Children and Program Participants (Safeguarding) and Gender Equality and Inclusion (GEI)
- Understand and implement responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
- Ensure concerns are reported and managed according to appropriate procedures.
- Ensure all staff are properly inducted and understand their role in safeguarding and GEI policies.
- Support full integration of safeguarding and GEI policies into daily operations.
- Contribute to global safeguarding and GEI reporting and compliance requirements.
Education
- Diploma in Accounting or Business Management.
Experience
- Minimum of 2 years of experience in a similar position.
Required Skills & Competencies
- Excellent English communication skills, both written and verbal.
- Knowledge of safety procedures in cash management.
- Good understanding of transaction handling procedures.
- Bookkeeping and interpersonal skills.
- Basic computer skills to process document settlements, especially Excel.
- Knowledge of currency denominations and counting.
- Advanced computer skills, especially Excel, Word, and email usage.
- Ability to communicate effectively at all levels and in difficult situations.
- Ability to work under pressure within a diverse team environment.
- Dynamic, tenacious, and committed personality.
- Ability to work respectfully with multicultural groups.

Language Requirements
- Fluency in the English language is essential.
