Job Description (Roles and Responsibilities)
Main purpose of job: Lead the work of the Protocol team to deliver routine protocol duties such as clearance of official consignments; assisting staff with visa, driving license, diplomatic ID cards, vehicle registration, etc. Direct the team on a daily basis, monitor progress of requests/works, provide updates, identify and implement improvements to customer experience, and support/develop the team.
Roles and Responsibilities:
- Monitoring the work of the Protocol team, following up on progress and providing updates to customers and senior leaders.
- Directing the team on a daily basis, ensuring tasks are prioritized and completed.
- Assisting, supporting, and developing the protocol team.
- Being a focal person and representing the team.
- Leading on protocol duties for VIP visits – working closely with organizers, providing updates, delegating, etc.
- Leading on the work with HM Consul on British National protocol matters.
- Leading on medical evacuations.
- Managing the Protocol team budget and handling the imprest.
- Arranging import and export clearances – personal effects of embassy diplomatic staff, vehicles, pets, medical items, and other goods.
- Working on new registration and transfer of vehicles.
- Obtaining diplomatic cards, driving licenses, duty-free papers, visas, etc.
- Liaison with Ethiopian government offices over payment of bills, customs clearance, and other matters where the Embassy needs assistance.
- Clearance of Embassy goods from Customs and working closely with local and UK agents.
- Maintaining good relations with a range of Ethiopian government officials.
Resources Managed:
(staff and expenditure) - 3 x AO's
Essential Qualifications, Skills, and Experience
- College diploma/degree in a business-related field
- 5 or more years of experience in facilitation, clearance, and protocol work, or similar facilitation roles
- Good knowledge of Ethiopian government offices, their procedures/policies
- Basic computer skills – Word, Excel
- 3rd grade or equivalent valid driving license
- Able to work on unconditional hours, late nights, early mornings, weekends, and public holidays
- Fluent in Amharic and English
Desirable Qualifications, Skills, and Experience
- Proven driving ability of 4WD vehicles
