Job Summary

The Administrative Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office. The role involves managing correspondence, maintaining records, scheduling appointments, preparing reports, and supporting daily office activities to enhance organizational effectiveness.

Key Responsibilities

  • Provide administrative and clerical support to management and staff.
  • Prepare, organize, and maintain office files, records, and documents.
  • Receive, sort, and distribute incoming correspondence and communications.
  • Draft, type, and format letters, reports, memos, and other documents.
  • Schedule meetings, appointments, and maintain calendars.
  • Answer telephone calls, respond to inquiries, and direct calls appropriately.
  • Maintain office supplies inventory and coordinate procurement requests when necessary.
  • Assist in preparing reports, presentations, and meeting minutes.
  • Support travel arrangements, logistics, and event coordination as required.
  • Ensure proper filing and retrieval of both physical and electronic documents.
  • Maintain confidentiality of organizational information and records.
  • Perform other related administrative duties as assigned.

Education

  • Diploma/Level IV in Secretarial Science and Office Management or related fields.

Experience

  • 2 years of relevant work experience.

Required Skills

  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Good record-keeping and document management skills.
  • Ability to handle multiple tasks and meet deadlines.
  • Strong interpersonal and customer service skills.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality and professionalism.
  • Ability to work independently and as part of a team.
