About the Organization
Ethio-Friends Foundation for Refugees (EFFR) is the first officially recognized refugee-led organization in Ethiopia, led by a refugee woman. The organization works closely with stakeholders to improve the lives and well-being of refugees and asylum seekers in Ethiopia.
Overall Purpose of the Role
The Administrative & Finance Assistant will provide comprehensive administrative, financial, and logistical support to ensure efficient office operations and smooth coordination of organizational activities.
Reporting Line
- Reports to: Finance & Administration Manager
Key Duties and Responsibilities
The role involves supporting both administrative and financial operations of the organization.
- Provide day-to-day administrative and financial support to the office
- Organize meetings, seminars, workshops, and conferences including venue arrangements, invitations, participant confirmations, and travel logistics
- Coordinate official travel and mission arrangements
- Assist in preparing documents and reports for meetings and events
- Support procurement processes including purchase orders, consultant contracts, and payment follow-up
- Liaise with partner agencies on administrative and financial matters
- Manage incoming and outgoing correspondence and maintain organized filing systems
- Process financial payments and maintain proper records and documentation
- Maintain calendars, appointments, travel plans, and contact lists
- Perform other administrative and finance-related tasks as required
Academic Requirements and Relevant Experience
- Diploma in Secretarial Science, Accounting, Administration, Office Management, Finance, or related field with a minimum of 2 years of relevant experience
- Bachelor’s degree in Accounting, Business Administration, Office Management, Finance, or related field with a minimum of 1 year of relevant experience
- Experience working with government, private sector, or international organizations is required
- Experience with refugee-led organizations or refugee response programs is an added advantage
