Job Summary
Under the direct guidance of the Operation Supervisor, you are responsible for handling customers for taking and handing over documents. You will perform in accordance with standard operational procedures and internal policies of the company.
Key Responsibilities
- Greet customers in a friendly and professional manner.
- Receive and process shipments, ensuring correct documentation and packaging.
- Handle inquiries related to shipping, tracking, delivery, and rates via phone, email, and in-person.
- Coordinate with the dispatch team to ensure timely pickups and deliveries.
- Give arrival notices to customers.
- Possess excellent service knowledge to inform and increase sales.
- Maintain a positive, empathetic, and professional attitude toward customers at all times.
- Resolve customer complaints or escalate to the supervisor when necessary.
- Keep records of customer interactions, transactions, comments, and complaints.
- Evaluate the efficiency of the customer service process.
- Provide professional customer support.
- Handle inbound and outgoing deliveries.
- Maintain a dynamic and scalable customer service in which resources are managed effectively and efficiently.
- Establish and maintain effective relationships with customers, gaining their trust and respect.
- Ensure all pick-ups are performed on time to meet committed service standards and that the documentation is correct.
- Ensure timely and accurate communication of information which affects service quality.
- Manage and ensure strict compliance with security procedures and regulations for Road and Air operations.
- Ensure service levels are maintained and customer satisfaction achieved.
- Implement quality management and other regulatory compliance strategies in line with company policy.
- Ensure daily balance sheets are accurately completed and reconciled.
- Verify that the recorded daily sales match the reports from the custom system and cash register.
- Receive and record payments from customers (cash, bank transfers, COD).
- Issue official receipts for all payments.
- Balance daily cash collections and reconcile with system records.
- Prepare daily cash and work reports and deposit summaries for the finance department and operation supervisor.
- Safeguard cash and ensure proper handling according to company policy.
- Maintain accurate petty cash records and process approved branch expenses.
- Report any cash discrepancies or suspicious transactions immediately.
Additional Responsibility
- Perform other duties as assigned by the Operation Supervisor.
- Ensure compliance with company policies and industry regulations.
- Identify areas for process improvement and implement effective solutions.
- Provide support to operational staff as needed.
Qualifications & Skills
- Diploma or Bachelor’s degree in Business Administration, Accounting and Finance, or related.
- 1–3 years of experience in customer service or cashier roles, preferably in logistics or express delivery.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel) and cash register machine.
- Basic accounting or cash handling knowledge.
- Ability to multitask and work under pressure.
- Honest, reliable, and highly organized.
- Friendly and professional demeanor with a customer-first mindset.
