The Junior HR Assistant provides administrative and clerical support to the Human Resources department in daily operations. This role assists with maintaining employee records, processing documentation, coordinating recruitment activities, supporting onboarding processes, and responding to routine HR related inquiries. The Junior HR Assistant helps ensure smooth HR functions while gaining hands-on experience in various aspects of human resources management.
Duties and Responsibilities
- Assist with day-to-day HR administrative tasks and operations.
- Maintain and update employee records (hard and soft copies).
- Assist in the full recruitment cycle, including posting job ads, screening CVs, scheduling interviews, following up with candidates for updates, and communicating with candidates for interview.
- Assist with new employee onboarding and orientation.
- Prepare HR related documents such as contracts, letters, and reports.
- Draft, prepare, and issue HR related documents such as contracts, offer letters, confirmation letters, and notices.
- Help track employee attendance and other HR metrics.
- Respond to staff inquiries regarding HR policies and procedures.
- Ensure proper filing and confidentiality of employee information.
- Collaborate with other departments to support HR initiatives and projects.
- Assist in monitoring probation periods, contract renewals, and other HR timelines.
- Help with performance appraisal processes by collecting forms, tracking deadlines, and preparing summaries.
- Maintain confidentiality of employee information and HR documentation.
Minimum Specification Requirement
- Bachelor’s degree in Human Resource Management, Business Administration, Management, or related field.
- Additional HR related training or certification (e.g., HR software, labor law, payroll administration) is an added advantage.
- No Prior professional experience required.
Knowledge & skill requirements
- Basic understanding of human resource principles, labor laws, and HR best practices.
- Strong organizational and time management skills with the ability to multitask.
- Good verbal and written communication skills.
- Attention to detail and accuracy in handling employee records and documentation.
- Proficiency in MS Office (Word, Excel, PowerPoint) and basic HR software.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- Strong interpersonal skills with a customer service mindset.
- Ability to work collaboratively as part of a team.
- Problem-solving attitude and eagerness to learn.
Working Hours: The working condition will be office hours/48 hours a week)
Salary: as per the organization's pay scale.
