Job Summary

We are looking for a reliable Receptionist / Administrative Assistant. The Receptionist / Administrative Assistant is the first point of contact for clients and visitors and provides essential administrative support to lawyers and the office manager. The role ensures a professional front office, efficient communication, and smooth day-to-day administrative operations of the firm.

Reporting to: Office Manager, Principal Attorney/Managing Partner

Responsibilities

1. FRONT DESK & CLIENT INTERFACE

  • Receive and welcome clients, visitors, and guests in a professional manner
  • Answer and direct phone calls, emails, and messages
  • Schedule appointments and manage lawyers’ calendars
  • Maintain visitor logs and coordinate meeting room usage
  • Handle incoming and outgoing correspondence and deliveries

2. ADMINISTRATIVE SUPPORT

  • Assist lawyers with typing, formatting, printing, scanning, and photocopying legal documents
  • Maintain filing systems (physical and electronic) for client and office records
  • Support preparation of court files and administrative documentation
  • Assist with document binding, stamping, and filing with courts or institutions
  • Ensure confidentiality of client and firm information at all times

3. OFFICE COORDINATION & LOGISTICS

  • Monitor office supplies and request replenishment
  • Coordinate couriers, runners, and filing clerks
  • Support organization of meetings, trainings, and internal events
  • Assist in maintaining a clean, orderly, and professional office environment

4. FINANCE & RECORDS SUPPORT (BASIC)

  • Assist with preparation and dispatch of invoices
  • Receive and record payments and issue receipts as directed
  • Maintain basic logs for expenses, petty cash, and disbursements
  • Support the Office Manager with administrative finance tasks

5. COMPLIANCE & PROFESSIONAL CONDUCT

  • Maintain strict confidentiality and professionalism
  • Follow firm policies, office procedures, and ethical standards
  • Support compliance with administrative requirements of courts and regulators

Qualification

  • Diploma or Bachelor’s degree in Secretarial Science, Office Administration, Management, or related fields
  • Prior experience in a law firm or professional office is an advantage
  • Basic computer skills (MS Word, Excel, email)
