Job Summary: The Receptionist/Admin Assistant is responsible for providing efficient administrative and clerical support while maintaining excellent communication and a professional attitude. The role involves assisting visitors, managing office communications, coordinating logistics, and supporting staff with administrative tasks, while upholding organizational values and ensuring smooth day-to-day office operations.

Qualification:

  • Bachelor’s Degree in Office Management, Secretarial Sciences, or related field

Experience:

  • Minimum of 1–2 years of relevant experience in office management (NGO experience is an advantage)
  • Formal training in office procedures, Microsoft Office applications, and office equipment
  • Knowledge of office administration and basic bookkeeping procedures is a plus

Language:

  • Proficiency in English and Amharic
  • Knowledge of a regional language is required
  • Additional national languages are an advantage

  • Strong organizational, problem-solving, and multitasking skills
  • Excellent communication and interpersonal skills
  • High attention to detail and accuracy
  • Ability to work under pressure and manage time effectively
  • Strong team-building and coordination skills
  • Computer proficiency, including word processing and spreadsheets
  • Strong decision-making and analytical skills
  • Ability to maintain confidentiality and professionalism

Key Responsibilities:

  • Manage incoming calls, direct them appropriately, and take messages
  • Greet and assist visitors professionally
  • Arrange and coordinate meetings, trainings, and workshops
  • Handle administrative tasks such as filing, data entry, scanning, and correspondence
  • Manage travel arrangements, hotel bookings, and guest accommodations
  • Maintain office records, documents, and visitor logs
  • Support staff with logistics, event coordination, and administrative needs
  • Prepare payment documentation and handle office-related financial processes
  • Monitor calendars and coordinate staff engagement activities
  • Perform other duties assigned by the supervisor
