Job Summary:
We are seeking a professional, organized, and detail-oriented Female Secretary to provide administrative and secretarial support to ensure the smooth operation of daily office activities. The ideal candidate will manage communications, maintain records, coordinate schedules, and support internal and external stakeholders while maintaining confidentiality and professionalism.
Key Responsibilities:
- Manage and organize daily office operations and administrative activities.
- Receive and direct phone calls, emails, and visitors in a professional manner.
- Schedule appointments, meetings, and maintain executive calendars.
- Prepare, draft, type, and distribute correspondence, reports, and official documents.
- Maintain proper filing systems and ensure accurate document management.
- Record meeting minutes and follow up on action items when required.
- Coordinate office supplies and ensure administrative resources are available.
- Handle confidential information with integrity and discretion.
- Support communication between departments and external stakeholders.
- Arrange travel schedules, bookings, and logistics when required.
- Assist in preparing presentations, reports, spreadsheets, and office documentation.
- Perform data entry and maintain updated administrative records.
- Monitor incoming and outgoing documents and maintain proper tracking.
- Carry out additional administrative duties assigned by management.
Required Qualifications:
- Diploma or Bachelor’s Degree in Secretarial Science, Business Administration, Management, Office Administration, or a related field.
- Minimum 1–3 years of relevant experience in secretarial, receptionist, or administrative roles.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Experience using office equipment and administrative systems is an advantage.
Required Skills & Competencies:
- Expert-level proficiency in office software applications including Microsoft Word, Excel, PowerPoint, Outlook, and related office productivity tools.
- Excellent typing speed and accuracy in both English and Amharic.
- Strong ability to prepare, format, and manage spreadsheets, reports, presentations, and official documents.
- Advanced document preparation, filing, and administrative record management skills.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
