Your Impact: The Administrative Assistant provides comprehensive administrative support to the Procurement and Logistics unit at Pathfinder International Ethiopia. The role carries strong responsibility for managing front-desk reception, ensuring smooth office communications, supporting travel arrangements, and handling warehouse activities/operations. The position requires excellent organizational skills, a high sense of responsibility, and strong commitment to professional diligence.
Key Responsibilities
Reception & Office Communication:
- Manage the reception desk as the first point of contact for visitors, staff, and external stakeholders.
- Receive and route incoming calls, visitors, and correspondence in a professional manner.
- Maintain a welcoming and organized front office environment.
- Draft, record, and circulate official letters, memos, and announcements as required.
- Ensure effective internal communication across departments.
Administrative & Travel Support:
- Provide day-to-day administrative support to the Procurement & Logistics team.
- Coordinate domestic and international travel arrangements, including air tickets, visas, hotel reservations, itinerary service and travel insurance.
- Support workshop, training, and event logistics.
- Maintain travel records, itineraries, and reports for compliance and tracking.
Warehouse & Asset Support:
- Assist in the documentation of goods received and dispatched from the warehouse.
- Track office supplies and consumables, reporting shortages or discrepancies.
- Support fixed asset inventory management and periodic verification.
Reporting & Compliance:
- Prepare and submit regular administrative and warehouse support reports.
- Ensure compliance with Pathfinder International’s policies, donor regulations, and Ethiopian legal requirements.
- Support audits and compliance reviews with required documentation.

Preferred Qualifications:
- Bachelor’s degree in business administration, Management, Logistics, or related field.
- Minimum 3 years of progressive experience in administration, office management, or logistics (NGO experience preferred).
- Proven experience in reception/front desk management with strong customer service skills.
- Strong written and verbal communication skills in English and Amharic.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to multitask, prioritize, and maintain confidentiality.
