Job Summary
The Procurement Assistant will support the Procurement Department in day to day operations including document management, payment coordination, purchase order and stock transfer order (STO) creation, and vendor communication. The role ensures timely processing of procurement activities and accurate record keeping to facilitate smooth departmental workflow.
Key Responsibilities:
- Assist Procurement Heads in preparing payment summaries and tracking payment statuses.
- Coordinate with vendors for invoice collection, verification, and submission.
- Collect, organize, and maintain all procurement-related documents (contracts, quotations, approvals, etc.).
- Draft and prepare letters, memos, and other correspondence related to procurement activities.
- Create and process Purchase Orders (POs) and Stock Transfer Orders (STOs) in the ERP/system.
- Follow up with the Finance Department and vendors on payment processing and clearances.
- Maintain systematic filing of all procurement and payment records (physical and digital).
- Assist in preparing procurement reports, trackers, and summaries as required.
- Provide general administrative and coordination support to the Procurement team.
Technical Skills:
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Experience with (SAP) preferred but not Mandatory
Other Skills
- Strong organizational and documentation skills.
- Good communication and coordination ability.
- Ability to multitask and work under deadlines.
Qualification
- Bachelor’s degree in Procurement & Supply Chain Management, Business Administration or a related field.
- Experience: Minimum of 3 years of relevant work experience in procurement, preferably in FMCG.
