Job Summary
The Property Administrator is responsible for the overall effective administration, safeguarding, and maintenance coordination of all physical assets (buildings, equipment, and supplies) belonging to the advanced Africa NewLeaf Medical Plaza. This role is critical during the establishment phase, ensuring that all facilities and assets are properly received, recorded, maintained, and secured in preparation for and during operations.
Key Duties and Responsibilities
- Asset Management & Inventory Control: Establish and maintain a comprehensive, accurate Fixed Asset Register for all capital equipment, including specialized medical machinery, IT infrastructure, and furniture.
- Oversee the proper receipt, tagging, and issuance of all purchased property and supplies, ensuring compliance with organizational policies.
- Coordinate and lead regular physical inventory counts of assets and high-value supplies.
- Maintenance and Facility Coordination: Serve as the central point of contact for all facility maintenance requests (non-medical equipment, building structure, utilities).
- Work closely with technical teams (like the Electrician and external contractors) to schedule and monitor preventive and corrective maintenance activities, ensuring minimal disruption to clinical services.
- Monitor and ensure the timely payment of all property-related utilities (electricity, water, security, telecom) and service contracts.
- Security and Safety: Ensure all company properties and assets are adequately protected from loss, damage, theft, and misuse.
- Coordinate with the Security department to ensure the safety and security of the premises for staff, patients, and visitors.
- Documentation and Compliance: Maintain accurate and updated records of all property-related documentation, including leases, insurance policies, maintenance logs, and disposal records, adhering to relevant Ethiopian laws and internal compliance standards.
- Prepare periodic status reports on property utilization, asset condition, and inventory levels for senior management.
Qualifications
- Bachelor's Degree in Logistics and Supply Chain Management, Business Management, Accounting, or a related field.
- Experience: Minimum of 3 years of experience in Property Administration, Asset Management, or General Services, preferably within a large organization, hospital, or commercial complex.
- Proven experience with inventory software/ERP systems and maintaining accurate asset records.
- Skills: Excellent organizational, record-keeping, and communication skills (Amharic and English).
- Strong working knowledge of procurement and property administration procedures.
- Ability to coordinate multiple tasks and supervise support staff.
