Job Summary:
The main purpose of the position is organizing and supervising the daily supply chain activities and the teams associated at coordination or project level according to MSF protocols and standards in order to ensure the optimal running of the mission.
Key Responsibilities:
- Supervise and organize the daily activities of the Supply Chain team, including the Education: Essential: Bachelor’s degree in Supply Chain Management, Logistics, Procurement Management, Marketing, or Business Administration. Experience: Essential: At least 2purchaser, and ensure they perform tasks linked to their role.
- Be responsible for order, purchase, stock, and freight management at the coordination or project level while monitoring and ensuring efficient implementation of daily supply chain activities.
- Monitor and ensure smooth-running supply administration and compliance with implemented supply procedures and propose adjustments where needed.
- Be responsible for the supply database and ensure correct filing and archiving of supply documentation to guarantee the availability and consistency of supply data.
- Communicate with customers, keep them updated concerning order status (BO confirmation), and prioritize procurement and transport according to operational needs.
- Collect claims from departments, analyze causes, and implement corrective actions.
- In collaboration with the Logistics Manager (if any) and HR department, supervise recruitment, training/induction, briefing/debriefing, evaluation, staff development, and communication activities for staff under responsibility.
- Inform the Logistics Manager in case of major issues and prepare the required reporting to support updated and reliable decision-making.
- Perform other tasks within the scope of the role as directed by supervision and according to mission needs.
MSF Section/Context-Specific Accountabilities:
- In collaboration with project HR, actively define supply HR needs within the project, develop job descriptions and objectives, and evaluate project supply staff performance.
- Organize onboarding and training of new project supply staff based on operational needs.
- In collaboration with project teams and coordination, develop and update supply procedures, SOPs, and guidelines to support project supply activities.
- Work closely with user departments to ensure an accelerated supply chain and timely delivery of required supplies.
- Collaborate closely with stock owners to manage project stocks under the supply department and ensure replenishment, availability, and delivery according to defined schedules.
- Take overall responsibility for supply administration processes, document validation according to emergency validation tables, and archiving of supply documents based on established standards.
- Generate and share supply reports (IR follow-up, Stock Status, Inventory Reports) weekly and monthly and ensure timely corrective and preventive actions.
- Ensure supply activities comply with procurement and disposal guidelines of the Federal Republic of Ethiopia and advise project teams accordingly.
- Perform additional tasks delegated by Project Coordination to support achievement of project objectives.
Required Qualifications:
Education:
- Essential: Bachelor’s degree in Supply Chain Management, Logistics, Procurement Management, Marketing, or Business Administration.
Experience:
- Essential: At least 2 years of proven experience in supply chain management, specifically in the organization of supply administration, procedures, and supply team supervision.
- Essential: At least 2 years of working experience in a supply chain role in an international humanitarian organization or donor-funded project.
- Desirable: Working experience with MSF or other NGOs.
Other Requirements:
- Essential: Mission language should be English, in addition to other local languages.
- Essential: Computer literacy (Outlook, PowerPoint, Excel, Word, and Internet)
