An Administrative Assistant is a vital support professional who helps ensure the smooth operation of an organization by managing daily administrative, clerical, and communication tasks. The position serves as a central coordination point, supporting office activities, maintaining records, scheduling appointments, and facilitating effective communication across departments.
Key Responsibilities
- Provide day-to-day administrative and clerical support to departments and management.
- Manage office correspondence, including emails, letters, and telephone communications.
- Prepare, organize, and maintain files, records, and documentation systems.
- Schedule appointments, meetings, and coordinate calendars for supervisors and staff.
- Assist in preparing reports, presentations, and official documents.
- Welcome visitors and direct them to the appropriate offices or personnel.
- Maintain office supplies and coordinate procurement requests when necessary.
- Support the organization of meetings, workshops, and events.
- Ensure proper filing and archiving of both physical and electronic records.
- Draft routine correspondence, memos, and meeting minutes.
- Facilitate communication between departments and external stakeholders.
- Maintain confidentiality of sensitive organizational information.
- Assist in data entry, record management, and document tracking activities.
- Monitor and support smooth daily office operations.
- Respond to inquiries and provide information as required.
- Perform other related duties as assigned by the supervisor.
Education
- BA Degree in Information Technology, Business Administration, Information Systems, Management, Accounting, or related fields of study.
Experience Requirement
- Minimum of 2 years of relevant work experience as an Administrative Assistant, Secretary, or Equivalent position.
