Job Summary:
We are seeking a motivated and detail-oriented Customer Service & Documentation Officer to join our Shipping and Logistics team. The successful candidate will be responsible for handling shipping documentation, coordinating with customers, shipping lines, agents, customs authorities, and ensuring smooth execution of import and export shipments.
Key Responsibilities:
Customer Service
- Serve as the primary contact for customers regarding shipment status and operational inquiries.
- Provide timely updates on cargo movements, vessel schedules, arrivals, and deliveries.
- Respond to customer emails, calls, and requests professionally and promptly.
- Resolve customer concerns and escalate operational issues when necessary.
- Build and maintain strong relationships with customers, shipping lines, transporters, and overseas agents.
Documentation
Prepare and process shipping documents including:
- Bills of Lading (BL)
- Commercial Invoices
- Packing Lists
- Certificates of Origin
- Customs clearance documents
- Verify accuracy and completeness of shipping documents.
- Coordinate document submissions with customs brokers, shipping lines, and government authorities.
- Ensure compliance with shipping regulations and company procedures.
- Maintain accurate records and filing of shipment documentation.
Operations Coordination
- Monitor import and export shipments from booking until final delivery.
- Coordinate with shipping lines, freight forwarders, transport providers, and customs authorities.
- Follow up on vessel schedules, container movements, demurrage, detention, and delivery status.
- Assist in cargo tracking and reporting.
Qualifications:
- Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Maritime Studies, Business Administration, or related field.
- Minimum 2 years of experience in shipping, freight forwarding, logistics, or customer service.
- Good understanding of import/export procedures and shipping documentation.
- Knowledge of customs clearance procedures is an advantage.
- Proficiency in Microsoft Office applications.
- Experience with shipping or logistics management systems is preferred.
